What does an interview for an administrative assistant role look like?

A phone interview is often the first round of interviews for an administrative assistant. Video interviews are becoming a common way to interview candidates who live far away. These interviews may be on your phone or laptop or at a public computer with networking capabilities.

Since an administrative assistant spends so much time interacting with people, almost all of their interviews will be in person, so the interviewer can see how well the candidate works with others.

Panel interviews may occur in cases where you would be working for multiple executives. Administrative assistants exist in a variety of industries and business types, so all types of interviews are technically possible. However, almost no one does project interviews.

Example interview questions

One of the best ways to prepare for an interview is thinking about potential questions that might show up in the interview. This part of our guide to interviewing for administrative assistant jobs shows you some common questions and good ways to answer them.

Entry-level questions

Can you tell me about software you have used to carry out administrative assistant duties before?

This is a good question because it reveals whether you are comfortable with technology. Descriptions of software you use also gives some insight into how you perform on the job.

Good ways to answer include detailed descriptions of scheduling, document editing and office administration software that the person has used in the past. You also should describe how you have used software to improve office efficiency or morale.

How do you see yourself contributing to our workplace as an administrative assistant?

This question is important because it shows whether you are aware of everything the role entails.

A good answer will include describing concrete tasks such as keeping everyone in the office organized, drafting schedules for meetings and assisting with travel plans, that will make the workplace run more smoothly.

If you were given a big project, like reorganizing all customer contact information, what steps would you take to complete the project?

This interview topic provides insight into your usual work process. It highlights how organized and methodical you are in your approach to tasks.

The most important thing to look for in an answer is confidence, capability and logical thinking patterns. Methods, like dividing the project into small steps, writing a schedule for the project or starting with the most time-sensitive task, are all good answers.

Mid-level questions

What would you do if an angry employee came in demanding to see their boss while the boss was busy with an important client?

This question tests your people skills and shows how well you can navigate tense situations.

A good candidate will always remember to prioritize their boss' privacy and client interactions. They should also include an explanation for how they would calm down the angry employee.

How would handle having multiple supervisors telling you what to do at once?

Your answer to this question can tell you whether you are able to prioritize tasks and handle multitasking without getting overwhelmed. This question can also reveal if you have the tact to handle office politics and personal disagreements.

The ideal answer should display that you are capable of respecting hierarchy. It should also provide examples of how the person would handle multiple task assignments at once.

C-level questions

Can you give me an example of your favorite project that you've worked on as an administrative assistant?

Asking about a specific project lets the interviewer learn a little about the person's work history. Behavioral interview questions also give insight into the type of work the candidate enjoys doing.

Any description of a project can be a good answer as long as it displays passion, enthusiasm and initiative. It is also helpful to explain how your involvement in the project benefited the company.

How do you think current industry trends will change the role of administrative assistant in the future?

Asking this question can show whether you have taken the time to thoughtfully consider the future of administrative assisting. Your response shows whether you are thinking about ways to grow and improve over time.

An ideal response demonstrates awareness of changing trends such as an increase in cloud storage for documents or video calls for meetings. At the same time, the answer should also include concrete plans for how you would use these changes to improve workplace efficiency.
