PROJECT COORDINATOR (NUTRITION)

The Senior Services Division provides direct services through staff located at six Regional Senior Centers. Additionally, the Senior Services Division partners with service providers who specialize in meeting the needs of aging adults by providing meals, caregiver support services, case management and benefit counseling. The Senior Services Division has an annual budget of $30 million. A sizeable portion of this funding is granted to community partners through a competitive grant making process. The Senior Services Division funds over 15 programs serving over 100,000 individuals across 30 delegate agencies impacting every Chicago neighborhood.
The Senior Services Division intends to hire a Project Coordinator for Nutrition Program Management. This position will report to the Assistant Commissioner.
This position provides a wide range of duties related to improving the success of the Senior Services Nutrition Programs (Congregate Dining and Home Delivered Meals), meeting program performance standards and deliverables through program oversight and coordination. Concentrates efforts on planning, program development and management, working closely with agency partners, training, researching, data analysis and reporting, providing information and guidance in the area of nutrition and represents the Department at meetings and professional associations and organizations dealing with nutrition services. This position works closely with other members of the nutrition team as well as other department staff.
Oversees nutrition program operations to ensure program goals and objectives are met.
Develops and implements operating policies and procedures to ensure adherence to city, state and federal guidelines and effectiveness of nutrition services to older adults.
Researches and implements best practices for nutrition services.
Plans and manages work schedules to ensure adequate coverage of field operations and other program activities.
Monitors, oversees, and provides technical assistance and direction to staff, contracted agencies and other program partners in administering the nutrition programs.
Convenes, coordinates, and facilitates meetings and other communications with contracted agencies and other partners, as needed to resolve operational issues, share best practices, and improve program performance.
Reviews nutrition program reports, including monthly reports from contracted agencies, identifying trends and ensuring accuracy of data to strengthen compliance to required nutrition standards.
Analyzes and reconciles program data for reporting and performs regular reviews to ensure consistency.
Manages program operating budgets, monitors program expenditure trends and forecasts projections.
Coordinates and implements appropriate on-going training for staff working in the nutrition program.
Conducts and documents site visits to monitor site operation and compliance to policies and procedures.
Conducts appropriate follow-up and investigation of complaints, health department inspections, or other incidents reported.
Identifies, establishes and facilitates effective relationships with and between contracted agencies, program partners, and assessment agencies (Care Coordination units and Managed Care Organizations).
Prepares narrative and financial program reports.
Develops and executes Requests for Proposals (RFP) and initiates contracting process.
Audits and approves vouchers for payment.
THIS POSITION IS IN THE CAREER SERVICE
Graduation from an accredited college or university with a Bachelor's degree in Public or Business Administration, Social Sciences, Planning or a related field, plus three years of progressively responsible experience in program management, or an equivalent combination of training and experience is required.

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral will be selected.
Preference will be given to candidates possessing the following:
Previous experience managing large scale programs and services
Previous experience analyzing and reporting on detailed program performance data and information.
Previous experience in budgeting and financial management
Previous experience applying quality management and improvement tools and processes
Previous supervisory experience
Proficiency with Microsoft Office and Excel
