SUMMARY
The Assistant responds to incoming informational requests and performs routine gift processing and database entry. Additionally, the Assistant provides administrative, clerical and operational support for the Central Office primarily Development Department and Senior Staff.

PRIMARY DUTIES
Administrative Support

Maintains SVDP Administrative office files, supplies, and general office equipment. Acts as primary liaison for IT, office equipment, and facility repairs and technical assistance. Initiates contacts with the landlord and all vendors for service calls in response to work orders and repair requests.

Maintains Shared Calendar and coordinates conference room scheduling.

Monitors postage accounts for Business Reply Email and bulk mail.

Provides administrative and clerical support to the President & CEO, COO and VP of Development & Marketing.

Serves as for Central Office receptionist with duties, including answering the door, greeting guests, answering phones, and monitoring the general voicemail box, providing appropriate referral information as needed. Receives processes and distributes packages and mail.

Provides administrative, clerical and operational support for the Development Department including preparation for staff meetings and recording of meeting minutes, maintaining development office files, tracking and ordering development supplies including stationary, maintaining development calendar, and processing department expenses.

Responds to donor inquiries received by phone, email or mail.

Database Management & Data Entry

Processes automobile donations including gathering accurate and complete information from the donor, transmitting required details to BelAir Auction to facilitate pickup, ensuring timely acknowledgement of donation, and maintaining IRS spreadsheet for auditor.

Performs all duties associated with intake of charitable gifts including timely and accurate data entry and acknowledgement of all gifts within 48 hours. Opens sorts mail and log sorts

Processes and acknowledges all in-kind and employee campaign designations, monthly donor ACH, EFT and credit card gifts, online gifts through including Frontstream and Blackbaud Merchant Services, individual, corporate and foundation gifts, and matching gifts.

Maintains Development Office files including vendor, individual, corporate and foundation donor files.

Maintains Raiser’s Edge records including address updates and removal of duplicate records.

Interdepartmental Duties

Creates and processes acknowledgement letters for grants.

Supports grant applications, providing cover letters, copies, photocopying and packaging for submission.

Assists with clerical duties related to organization technology equipment and support.

SECONDARY DUTIES

Works on special projects as needed, balancing priorities to ensure projects progress simultaneously and within established deadlines.

Maintains a neat and organized work area so that others may easily access essential information on days when not present in office.

Assists with planning, preparation and staffing of special events held by St. Vincent de Paul as necessary.

ADDITIONAL DUTIES

Attends Development and Communications staff meeting, and other meetings as required.

Upholds the vision, mission and values of St. Vincent de Paul.

Supports a welcoming and positive environment for volunteers and works with them effectively.

Create an atmosphere of care and respect for clients, staff, donors, and other partners.

Other duties as required within the scope of the position.

QUALIFICATIONS

AA degree required, a minimum of one-year experience in Development or preferred field and experience working in a professional office environment required.

Computer proficiency, including demonstrated competencies in Microsoft applications including Word, Excel, and PowerPoint, use of internet and email, and familiarity with desktop publishing.

Experience with and understanding of donor management software and/or databases required. Knowledge of Raiser’s Edge preferred. Experience with web-based giving including Frontstream and Blackbaud Merchant Services.

Excellent customer service and written and verbal communication skills.

Strong organizational skills and ability to handle multiple projects and priorities simultaneously.

Self-starter with ability to work independently and meet deadlines.

_____MEDIUM WORK: Lifting 50 pounds maximum with frequent lifting and/or carrying of objects up to 25 pounds.
_____HEAVY WORK: Lifting 100 pounds maximum with frequent lifting and/or carrying of objects no more than 50 pounds.
