Perform duties to provide administrative and clerical support to the Operations and other departments as assigned, working within the limits of standard or accepted practice.
Preview weekly nursing schedule to anticipate incoming assessments and monitor to ensure receipt of reports. Responsible for the identification of missing or deficient assessments, track receipt of assessment reports and communicate with outside agencies to expedite delinquent assessment report data and verify or request missing data points. Will also assign assessments to pharmacy for care plan management and coordinating with administrative and work flow associates to prevent volume burden in fax cue.
Invoice receipt and document management. This includes performing initial compliance checklist on operational invoices received from five dispensing sites, verifying patient data, reviewing billed hours and mileage/hours for accuracy and submitting identified errors for further review.
Administration of training classes including arranging class schedule for nurse managers including location and refreshment set-up when warranted, maintaining training calendar and confirming receipt and storage of all relative certificates and documents per company policy. This will also entail continuous communication and follow-up with agencies to obtain class rosters and participation affidavits for participating nurses.
Contract and Nursing Agency Management. This includes reviewing contracts due for renewal, sending requests for information and maintaining a master agency list and trained nursing roster, keeping all systems current and engaging IT to add new ancillary providers when needed.
Provide administrative support to Director, Nursing as requested.
Provide support to IgG Program Manager and others to prepare on-demand assessment reports for prescribers and payers.
Possesses excellent written and verbal communication skills sufficient to tactfully encourage timely receipt of assessments and data points.
Demonstrated excellence in telephone skills with internal and external customers.
Highly proficient in all Microsoft Office Suite programs.
Bilingual a plus.
Demonstrated pattern of organized work methods.
Proven knowledge of computer systems sufficient to meet requirements for data entry accuracy and timeliness, as well as general administrative office support.
High school diploma or GED Equivalent plus some additional training required. Associate Degree preferred.
Minimum 1 year experience in data entry and/or administrative support.
Contract administration experience preferred.
