About the Position:
The Contracts and Procurement department provides the campus community with cost efficient and effective handling of acquisitions and contracting needs in accordance with State laws and CSU policies. We are seeking an Office Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the general supervision of the Associate Director of Contracts and Procurement, the Office Coordinator provides clerical and administrative support to the Senior Director of Contracts and Procurement (C&P), Associate Director of Contracts and Procurement, C&P staff, Asset Management Office (AMO) Staff, and Facilities Use Office. Independently researches, makes administrative recommendations and implements efficiency practices and procedures for office management as it relates to the operations. Coordinates the submission of travel documents and related materials utilizing the campus travel software (Concur). Establishes and maintains working relationships with internal and external customers to ensure customer inquiries are responded to in a timely and effective manner. Coordinates the campus catering program, serving as the liaison between campus personnel, event coordinators, caterers, Risk Management, and insurance companies with respect to catering program documentation and policy interpretation/clarification. Acts as department timekeeper, running department attendance reports, inputting and verifying data in Absence Management on a weekly and monthly basis. Coordinates daily operations and special projects with student assistants, as needed. Other duties as assigned.

Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications
A bachelor’s degree from an accredited four-year college or university. Experience in office management. Knowledge of college or university operational structure. Experience in higher education or purchasing/contracting office.
