Key Responsibilities:
Administrative Support:
- Manage and oversee the day-to-day operations of the office
- Supplies & Inventory management
- Office machine management/maintenance
Payroll
- Maintaining employee payroll records
- Entering deductions 401(k) for employees participating in ADP
Financial
- Manage accounts payable and receivable
- Assist in the preparation of regularly scheduled reports
- Bank Account verification & security check
- Reconciliation of POS transactions
- Wire transfers
- Vendor invoice confirmation and payment
Bookkeeping | QuickBook Responsibilities | Payment portal management
- Enter and pay bills for two locations (Tibet House and Retreat Center)
- Bank deposits and entering deposits (checks and cash)
- Enter Paypal donations and allocation
- Enter Etsy payments and allocation (fees, merchandise, Sales tax, shipping) - imported into Quick books
- Allocate THUS Credit Card transactions
- Enter Square receipts and allocate fees, income, store, membership or program income
- Enter Woocommerce program income and allocate to correct programs and fees
Assistant to Head Bookkeeper
- Annual Financial Audit
- Workers Comp Audit
- Preparation of 990’s
Online Store
- Reconcile Etsy sales (weekly)
- Mailing and packing Etsy merchandise
- Client Services
- Preparing shipping labels as needed
Skills and Qualifications:
- Proven experience in bookkeeping and administration
- Proficiency in Quickbooks
- Proficiency in Google Suite, MS Excel, WordPress
- Excellent time management and multitasking skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Creative orientation towards improving efficiency and effectiveness
- Some event coordination experience desirable
The position is largely onsite 9 - 5pm weekdays (Manhattan office)
Start date Sep 18, 2024 (includes one week training with outgoing staff person)
