General Statement of Job
Performs responsible skilled clerical work in performing data input, scanning, filing and maintaining, and researching City records and related data; does related work as required. Work is performed under regular supervision.

Essential Functions
Essential Functions: These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position.

Assists with maintaining, archiving, and disposing of city records, in accordance with the City's Records Program, including the transportation to and from off-site facilities.

Assists with maintaining comprehensive computerized and manual filing systems within prescribed standards.

Assists with maintaining and updating the City's record system and storage area.

Ensures that citywide documents are scanned into the system and audits department scanned records.

Performs filing and clerical work requiring independent work and good judgment.

Performs data entry, proofing documents, and scanning.

Backup for transcribing official minutes from Commission and Board meetings.

Maintains confidentiality of records, files, and documents.

Operates a personal computer and document imaging equipment.

Assists with telephone answering, copying, and mail distribution.

Receives, screens, and processes telephone calls assist the public as a backup to the receptionist.

Provides back-up as needed with departmental purchasing/requisition, maintaining inventory of office supplies, receiving payments and posting to accounts, and preparing and mailing statements.

Provides backup as needed with updating the City website and Facebook page.

Follows safe working practices and has a working knowledge of safety practices and procedures in accordance with the City’s Safety and Health Program.

All employees serve an essential role in the City’s disaster preparation and/or disaster recovery efforts, as may be designated by the City’s Emergency Manager.

Additional Duties:
Performs related tasks or other duties as required or assigned.

Minimum Qualifications
Graduation from high school and five (5) years of office experience, supplemented by course work in business and/or accounting. Proficiency in computer applications and programs such as Windows and Microsoft Office (Word, Excel, Outlook) is required. Knowledge of some modern recording keeping procedures and practices and file organization principles. Must be detail-oriented, patient, thorough and accurate. Must maintain a Florida driver’s license with an acceptable driving record. Must have or be able to complete ICS 100 and 700 courses within six (6) months of hire.

Special Requirements

Knowledge of some modern record-keeping procedures and practices and file organization principles.

Knowledge of standard office practices, procedures, equipment, and office assistance techniques.

Knowledge of correct English usage, spelling, grammar, and punctuation.

Knowledge of various social media platforms.

Ability to perform a considerable volume of detailed record work.

Ability to maintain files.

Ability to operate office and data entry equipment.

Ability to follow written and oral directions, and communicate clearly, concisely, orally and in writing.

Ability to organize information and to prepare useful and accurate reports.

Ability to set-up and maintain a complex filing system.

Technical Requirements
Ability to operate office and data entry equipment.

Working Conditions
This is light work requiring the exertion of up to 20 pounds of force occasionally; up toI0 pounds of force frequently and a legible amount of force constantly to move objects.

Work requires stooping, crouching, walking, fingering, grasping and repetitive motions.

Vocal communication is required for expressing or exchanging ideas by means of the spoken word.

Hearing is required to perceive information at normal spoken word levels.

Visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities.

The worker is not subject to adverse environment conditions.
