Job purpose

Provide paralegal and administrative services to the Director of Real Estate and Facilities, the Facilities Team and the Regional Service Area implementation process. The Real Estate and Facilities team is responsible for the management of over 550 branches distributing building products across all fifty states and Canada.

Duties and responsibilities

Draft and review various leasing related documents including lease extensions, terminations and exercise of option letters
Work closely with the Legal department to facilitate efficient document management through the full cycle from deal approval through negotiation and execution
Provide preliminary detailed legal and administrative review of initial lease drafts.
Lead the real estate lease administration function to include:
Manage the relationship with outsourced lease database administrator
Working with the Facilities team and outsourced vendor, ensure accuracy and stability of lease database
Forward all new leases, lease documents and other communications to vendor for uploading into the database
Initiate check requests for termination fees, commissions or other real estate payables
Serve as a primary contact for landlords, property managers, and other real estate contacts
Own the vendor/landlord set-up process including collecting vendor/landlord W-9’s and other info as well as providing tenant contact information
Collect and provide information required by insurance carriers for property and liability coverage
Review and revise estoppels as requested by landlord and other partners

Self-starter; can work independently with minimal guidance
Motivated, positive and proactive
Experience with real estate transactions and the commercial leasing process, including familiarity with real estate transaction documentation
Paralegal, administrative and real estate transaction document drafting skill
Excellent verbal and written communications skills
Proficient in MS Word, Excel, and PowerPoint
Strong ability to work in a fast-paced environment and on multiple complex projects concurrently
Strong project management skills with a process orientation
Proven ability to excel in a demanding, high performance work environment and team-oriented culture
College degree or paralegal certification
