The City of Saint Charles Parks and Recreation Department is currently recruiting for the position of Administrative Associate III. The purpose of this position is to assist residents and guests of the Parks and Recreation System. Provide administrative support for a variety of diverse situations for middle and upper management level professionals.

Essential Duties and Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Screens calls, visitors and incoming correspondence; personally responding to requests for information; determining which should be handled by the supervisor or staff member, or other offices
May prepare and sign routine non-technical correspondence
Schedules tentative appointments without prior clearance
Makes arrangements for Parks & Recreation Board and Cemetery Board meetings and assembles materials, as directed
May attend meetings and record and report on proceedings
Reviews outgoing materials and correspondence
Assures that proper clearances have been obtained when needed
Collects information and prepares reports
Refers non-routine requests to supervisor or staff
Coordinates administrative forms and forwards for processing
Handles routine division or department level purchasing; assists in monitoring departmental budget; Extensive work with the City's budgeting, billing, and financial systems.
Assists with Department payroll
Process park facilities use permits and reservations. Records and posts park facilities use requests
Assists guests with registration/reservation of programs and facilities
Prepares invoices
Records and prepares Cemetery activities forms. Accepts and directs Cemetery payment vouchers
Assist other divisions with handling all documents and billings pertaining to all athletic leagues, tournaments and special events
Assist as necessary with special events and programming

Minimum Training and Experience Required to Perform Essential Job Functions

High school diploma or equivalent and 2 5 years of related experience or any combination of education and experience that provides equivalent knowledge, skills and abilities.
Must be proficient with Microsoft Office Suite applications.
Parks and Recreation Registration/Reservation software
Must be able to quickly learn new software packages.
