The Northrop Grumman Systems sector (NGMS) is seeking an experienced Executive Administrative Assistant to provide support to the Integrated National Systems Business Unit (INS BU) Vice President. As a valued member of the senior leadership team, the Executive Assistant is the center of day-to-day office operations and will be welcomed into a team environment where input is invited, growth is encouraged, and mutual support is standard.
In this role, the Executive Assistant will report to the VP of the INS BU and will support key-direct and dotted-line reports to the VP and program managers within the Restricted Space business area.
This position will be located in Linthicum, MD, and will coordinate business meetings, arrange, maintain, and modify the VP's schedule and associated departmental activities, and will maintain effective and efficient organization of administrative requirements.
Roles and responsibilities of the selected candidate to include, but not limited to:
Performing a wide variety of administrative and advanced tasks: coordinating business meetings and conferences; and receiving, referring, or answering mail. This team member will be expected to multi-task in a fast-paced environment, using judgment and discretion
Diplomatically interface with all levels of management, employees, internal and external customers and vendors
Create top quality presentations as necessary. Among the many technical skills required: PC proficient, Microsoft Outlook, Word, Power Point and Excel
Coordinating and maintaining the VP's calendar (meetings, schedule, deliverables) proactively through independent initiative
Preparing and adjusting VP's travel arrangements and completing expense reports, and at times acting and making decisions on behalf of the VP
Preparing and releasing a variety of complex communications and documents that affect the business area; designing and maintaining procedures; appropriately handling confidential information is critical
The candidate will be reliable, resourceful, work accurately and independently with an ability to anticipate, initiate and follow through with all responsibilities. There will be an occasional need to work extended hours
High school diploma and a minimum of six years additional education and/or experience in the administrative professional field or a Bachelor's degree with two years' experience in the administrative professional field
Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel) and intranet/internet proficiency
Must have the ability to compile and generate reports and presentations
Individual must be able to complete a wide variety of tasks with minimal supervision
Ability to efficiently coordinate Outlook calendar and high tempo travel schedules
Experience and proficiency with Concur travel and expense reporting system
Demonstrated ability to maintain confidentiality
Prior experience coordinating both on and off site meetings and/or events
Experience proofreading and correcting documents for grammatical errors
Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
Expert level proficiency with oral and written communication skills
Must have experience in supporting a variety of executive levels, management level and administrative support within an organization and be able to collaborate with all organizational levels
Must be able to interface with executive level internal and external contacts with considerable autonomy
Current active Secret required. Must be able to obtain TS/SCI level clearance with polygraph.
Associate's Degree in business administration or related field
VP expense report experience desirable
Experience working in a technical environment, with interface to engineering and science leaders, managers, and employees
Experience working in a defense customer and aerospace industry firm
Current TS/SCI with polygraph strongly preferred. Secret clearance or above with an investigation in the past 5 years will be given preferential consideration.
