Job Summary: The position performs split duties between two work centers: 60% in the Academic Services office, including Testing and Career Services Center coverage, and 40% in the Student Services office. This position provides administrative and clerical support to the College through customer service to staff, students, their families, and the public. The position is responsible for scheduling and coordinating meetings, creating and processing a variety of documents, data entry and updating databases, scheduling exams, setting-up equipment, arranging travel logistics, test proctoring and solving test problems, and responding to queries from within and outside the College. Primary duties include meet and greet customers and respond to their inquiries, process paperwork, prepare and deliver written forms/reports, and enter College, program, and student data. Secondary clerical-type tasks include processing mail, answering phones, filing records, making copies, and taking/transmitting messages. Strong customer service, communication, computer, and attention-to-detail skills are needed to meet requirements. The Academic & Student Services Administrative Specialist typically works Monday through Friday, 8:00 am to 5:00 pm. The position does require very minimal travel within the Service Area and Wyoming.

Essential Duties:

  • Academic and Student Services
  • Perform variety of administrate functions to include: make travel arrangement, schedule/coordinate meetings, transcribe minutes, monitor department webpages and recommend changes, help manage supervisors’ calendars
  • Initiate, develop, process, prepare, and record paperwork, databases, spreadsheets, applications, forms, reports, and confidential information to ensure completeness and accuracy
  • Respond to telephone, email, written, and in-person inquiries from co-workers, students, the public, and other interested parties; provide answers, transmit messages, and maintain related records/files
  • Collect, compile, and review data as directed/necessary
  • Prepare, review, and process variety of correspondence, reports, info, paperwork, invoices, forms, and other related documents; maintain records, files, and databases and ensure their accuracy
  • Assist with budget preparation and monitoring to include grants and contracts as requested
  • May prepare cost estimates and approve expenses when directed
  • Provide substitute coverage for the Testing and Career Center including: administration of a variety of exams (e.g. HiSET, PAN, CLEP, DSST), proctoring of distance learning and make-up exams (computer and paper-based), schedule tests, aid individuals who need assistance, data entry into databases and testing charges into spreadsheets for EWC students and students from other institutions
  • Perform all other duties of a similar nature or level as assigned

Minimum Qualifications:

  • High School diploma or HS Equivalency Certificate (HSEC)
  • Two years full-time office support work experience in administrative or clerical job
  • Previous data entry and MS Office applications (e.g. Word, Excel, Outlook) work experience
  • Demonstrated effective customer service, communications, and meeting deadlines
  • Current and valid state-issued Driver License

Preferred Qualifications:

  • Associate’s degree or certificate in business, management, or related field
  • Three years of full-time work experience in administrative customer service or related field
  • Proficiency with Ellucian Higher Education software
  • Test Administration Certifications (various) or ability to acquire

Salary: $30,173.00 to $33,305.00 /year
