The Office Support Specialist II provides executive administrative support to the office of the Superintendent and Deputy Superintendent. The OSS II oversees the implementation of the Intake and Admissions process, maintains a database and provides reports to executives and stakeholders. Acts as Event assistant, assists the Editor of the Veteran’s Monthly newsletter, designs and prints material for home.

Acts as initial point of contact for Veterans and/or family/guardian of veteran who is seeking housing for either residential services or long term care placement.
Guides veterans and/or their family members in acquiring additional resources if they have to be placed on a waiting list for admission.
Provides, receives and reviews Veterans’ applications for residential placement, ensures that the veteran meets the criteria for admission and services, enters information into a database, attends Admissions Committee Meetings and makes recommendations for committee regarding appropriateness.
Maintains admissions database and provides reports to Superintendent, Board of Trustees, stakeholders, etc.
Maintains the Wait List for Long Term Care facility by removing applicants who have deceased, have sought residence elsewhere, etc. Adds newly qualified Veterans onto the list and communicates availability to them or family members/guardians.
Serves as CORI and SORI Liaison for the Agency by conducting checks on Veterans applying for admission, and Agency volunteers.
Assists with large events and celebrations recognizing Veterans: Coordinates logistics including contact with offices of local and state representatives and officials, State and National Veterans’ organizations to ensure participation, obtain guest speakers, designing and printing brochures/flyers/handouts, researching historical information, accessing off site venues, renting equipment, supervising and coordinating volunteers, etc.
Assists Editor of the Veteran’s Monthly newsletter including obtaining/writing stories, publishing events, providing general information and updates to the Veteran Community.
In the absence of the Superintendent’s Executive Assistant, submits Weekly Activity Report to EHS on behalf of the Agency.
Composes correspondence and reports on behalf of the Superintendent and Deputy Superintendent for distribution to EHS, Trustees, Leadership Team, stakeholders, veterans organizations, families and other interested parties.
Inputs events, information, etc. on the digital signage board.

Qualifications

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:
I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.
