Provides executive administrative support to Executive Vice Presidents / C-Suite, managing sensitive and confidential materials, creating and preparing timely correspondence and presentations.
Works on Board of Director deliverables, interacting with and regularly and providing services to Board members and investors.
Handles with care sensitive legal materials and matters with potential financial and reputational impact on the company.
Maintains EVP / C-Suite complex calendars, schedules and domestic and international travel arrangements.
Reviews correspondence, and identifies high-priority correspondence and delivers to leaders or others in the department in a timely manner.
Structures and maximizes EVP calendars and overall time management, using judgment to prioritize calendar requests.
Collaborates on agendas, reserves conference rooms and makes any other arrangements for the specified meeting and to ensure EVPs are prepared with the necessary materials for meetings.
Orders and maintains office supplies and inventory for the department and creates purchase orders, process invoices and acts as the liaison between the company and vendor where applicable.
Sets up and organizes paper and electronic filing systems to ensure company compliance.
Manages facilities and equipment to troubleshoot and problem solve for staff in various aspects (office equipment, building management issues).
Participates in advanced and company-wide project activities with limited direction from the manager and ensures the work is completed in an accurate and timely manner.
Provides general office orientation for new staff members to ensure proper introductions are met.
Prepares expense reports and ensures reports are submitted timely and accurately.
HS Diploma with 6+ years in an administrative function supporting C-Suite Level Executives.
Bachelors Degree with 4+ years in an administrative function supporting C-Suite Level Executives.
