Executive Assistant to the Chief Communications Officer
WeWork is currently seeking an Executive Assistant to support our Chief Communications Officer. This full-time position will be based in New York City and will report to the Chief of Staff. The position will offer the right candidate a unique opportunity to join one of the world's foremost late-stage growth companies and help build our brand.
An ideal candidate will be a proactive problem-solver, highly organized, detail-oriented and well-versed in managing competing priorities. You will support our CCO in all aspects of her daily needs including complex calendar management, meeting arrangements, travel coordination, expense reporting, presentation and document preparation, and special projects as needed.
You minimize conflicts and maximize productivity for the CCO, enabling her to do her best work. In addition to being highly organized, you’ll thrive in this role if you are an excellent communicator. The Executive Assistant to the CCO facilitates communication with our team to make decisions and externally with important contacts.
This role will provide candidates who are passionate about communications and public affairs with an opportunity to learn new skills while making meaningful contributions to WeWork’s growth. Cross-department communication and collaboration are central to the role.
Anticipate needs of the CCO before and during each workday
Extensive and heavy scheduling, monitoring, and prioritizing of the day-to-day incoming communication and requests for time
Manage calendar to ensure a productive and positive workflow to the day's activities
Handle all travel arrangements including flights, hotels, ground transportation; obtain visas, passport renewals, or any other travel documents
Facilitate planning for offsites and external meetings
Submit monthly expense reports
Review and approve all requisitions, purchase orders, and supplier invoices for outgoing vendor payments
Collaborate with fellow executive support colleagues and different departments to ensure that any ongoing projects or needs for the company are addressed and delivery expectations are met
Bachelor’s degree; focus in Communications or Policy a plus
At least 1-2 years of full-time experience as an Executive Assistant or in a similar role providing administrative support to senior leadership
Discretion and trustworthiness - confidence and ability in handling sensitive and confidential issues
Heavy calendar, travel, and meeting planning experience required
Strong written and verbal communication skills
Demonstrate ability to juggle and prioritize multiple tasks and projects simultaneously and successfully
Proficiency in Google Calendar and Google Suite
Extremely organized and detail oriented
Possesses strong project management skills; one who thinks ahead and anticipates needs—you’re never satisfied with the status quo, always thinking “how can we do this better?”
Hard working with a "no task is too small" attitude
Ability to keep composure and enjoy working in a fast-paced environment with frequently shifting priorities
Experience with Workday a plus
