JOB TITLE: Surgery Scheduler
DEPARTMENT: Patient Services
REPORTS TO: Clinic Supervisor
PRIMARY OBJECTIVE: Efficiently and effectively schedule surgery patients initiated by Minnesota Urology physicians. Serve as liaison, on behalf of Minnesota Urology, P.A., with patients, clinics, hospitals and surgery centers.
Schedule patients accurately and efficiently for any and all surgical procedures requested by Minnesota Urology P.A. physicians.
Inform patients regarding special diets, prep instructions, general insurance/referral information, arrival times, dates, locations, etc.
Ability to organize work for efficiency and problem solve as related to surgery scheduling and its impact on physicians and clinic.
Keeping up-to-date on all insurance requirements and following all guidelines requested.
Document scheduled surgeries in Intergy as appropriate.
Ensure patients have necessary pre-certifications, prior authorization and/or referrals.
Reschedule and cancel surgery and post-op appointments in a way which minimizes any inconveniences to the patient, including notification to the correct hospital or surgery center.
Maintain effective and accurate daily physician surgery schedules.
Additional responsibilities as assigned.
ESSENTIAL SKILLS/ABILITIES TO EFFECTIVELY PERFORM RESPONSIBILITIES:
Represent Minnesota Urology P.A. in a professional manner related to appearance, communication and the maintenance of patient confidentiality.
Ability to effectively incorporate the use of technology into day-to-day tasks (Outlook, Microsoft Office Suite, Intergy).
Ability to communicate effectively and compassionately with patients, co-workers, management and physicians.
Ability to travel to additional locations is staffing needs require.
Supportive of the goals and objectives of Minnesota Urology P.A.
Attendance is required.
Ability to read, write, speak and understand English.
High school diploma or equivalent.
Minimum of three years surgery scheduling experience.
Medical terminology required with some background in insurance.
Knowledge of Intergy Medical Practice Management System preferred, but not required. Knowledge of Microsoft Office Suite (Word and Excel) preferred.
EQUIPMENT USED TO PERFORM ESSENTIAL FUNCTIONS:
Computer/keyboard/monitor and printer. Writing utensils, multi-line telephone, copier/fax machine.
Available transportation required.
TYPICAL PHYSICAL DEMANDS: Requires sitting for long periods of time in an office environment. Some bending and stretching required. Ability to lift 5-10 lbs. Working in a fast paced environment and use of telephone required. Manual dexterity required for use of computer keyboard.
TYPICAL WORKING CONDITIONS: Fast pace office environment. Contact with physicians, staff, patients and surgery schedulers at various hospitals and surgery centers.
