HMS TECHNOLOGIES is seeking candidates to support a large, multi-disciplinary Department of Veteran Affairs (VA) contract providing Program Management and Technical Support services, including strategic planning, project and program management, and engineering and technical support. The VA Health Portfolio consists of a variety of products, programs, and projects that deliver Veteran-centric technology solutions that are available, adaptable, secure, and cost-effective. The VA Health Portfolio consists of five major Programs: Community Care, Clinical Ancillary Products, Health Data Services, Health Management Product Enhancements, and Veteran Facing Applications. This five-year contract consists of more than 350 staff from 6 companies, involves interaction with very senior VA officials, and has high visibility in VA and the federal government (e.g., Congress).

HMS is seeking a Travel Coordinator/Administrative Assistant to provide travel coordination and administrative support for senior client stakeholders in the Portfolio. The qualified candidate will have experience planning, organizing, facilitating, tracking, and reporting on travel for executives; and technical editing. The candidate ideally should be well versed in development life cycles and project management methodologies.

Position Responsibilities:

  • Set up travel requests for senior VA client stakeholder travel to meetings
  • Assist with tracking travel requests through the VA approval process
  • Capture and maintain a list of VA client travelers, location, duration, purpose, and justification for the travel event
  • Assist in preparing travel requests in support of the PMO project teams
  • Prepare Conference Cost Estimate forms (VA Form 10008a), Concurrence and Summary Sheets (VA Form 4265), Strategic Communication Reviews (VA Form 0907), Conference Responsibility Designations (VA Form 10008e), and Conference Request Memoranda for high dollar value trips/large number of attendees
  • Technical editing
  • Plan, maintain and manage schedules for staff
  • Manage action items, communications, and messages for assigned Project Director

Required Skills and Experience:

  • Plan, facilitate, organize, track, and report on travel events for executives and teams
  • Type and edit documents without error
  • Proficiency with graphic tools
  • Plan, maintain and manage schedules for staff
  • Strong oral and written communication skills
  • Strong interpersonal and client-facing skills with experience interfacing senior government officials
  • Experience developing and reviewing project documentation, such as Project Schedules, Project Plans, and Status Reports

Qualifications:

  • Associate’s Degree or 2 years of Business School (or 4 years of relevant experience as a substitute)
  • Minimum of 4 years’ relevant experience
  • Experience working in VA or other Government agency [desired]
  • Public Trust Clearance or the ability to obtain a clearance
