The Youth Resource Center (YRC) Client Services Assistant is responsible for ensuring efficient day-to-day operation of the YRC and administrative functions. This includes general front desk coverage through answering the telephone, managing mail, greeting clients and visitors as well as recordkeeping, data entry and filing of confidential records, over-seeing front desk sign-up sheets, managing referrals and updating client information in databases. In addition, the YRC Client Services Assistant will provide back-up support for the Office Administrator/Client Services Assistant on the main level, as needed.
PRIMARY DUTIES AND RESPONSIBILITIES
· Greet clients and visitors, schedule appointments and follow-up with clients as requested by YRC Program Staff.
· Answer the telephone and forward calls to program staff.
· Assist in maintaining office efficiency and compliance with YRC operating procedures such as monitoring computers, locker rooms, food pantry, showers, and laundry sign-up sheets.
· Maintenance and oversight of all sign-up sheets that include YRC client enrollments and recording of client services in myEvolv Electronic Health Record (EHR) system and HMIS
· Copy, file, scan and maintain paper or electronic documents and record
· Assist YRC Program Staff with submitting referrals
· Work directly with the YRC case managers during the intake and enrollment process of the youth and young adults by making the initial contact, assessing the potential client’s needs, completing the YRC screening form and a soft hand off to the case manager
· Assist Drop-in center clients with basic needs and drop-in services (laundry, shower, lockers, computer, and food pantry orders.
· Ensure that all YRC clients have completed a YRC Registration form, Initial demographic addendum, Transportation Agreement, and Group Agreement form on file.
· Enter client information and date into myEvolv and Homeless Management information system (HMIS)
· Develop and manage a resource binder
· Update resource bulletin board and monthly group calendar
· Provide information and referrals regarding shelter placement and diversion (natural supports or other housing alternatives), legal and financial resources to youth and young adults ages 14-24.
· Verifying transportation forms are on file prior to fulfilling Uber and Bus token requests
· Fulfilling food requests for the food pantry by being a Shopper and track food pantry orders
· Log temperatures twice daily for refrigerator and freezer in YRC
· Order and receive food and validate invoiced from food bank, stock food pantry and ensure all food is sorted and stored in a safe and sanitary manner. Inventory food and provide required food bank reports.
· Order and receive YRC supplies and ensure YRC supplies are stored in an organized manner.
· Assist YRC Program Staff in the de-escalation of conflicts.
· Provide administrative support when the Baltimore City Client Services Assistant or Office Administrator is not available.
· Other duties as assigned.
GENERAL DUTIES
· Answer telephone & forward to appropriate personnel.
· Ensure YRC clients/visitors complete check-in and sign-up process for services in the YRC.
· Filing confidential documents.
· Sort and file incoming mail for YRC clients.
· Ensure YRC operating procedures are followed.
· Perform general administrative duties.
· Complete other clerical duties, as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
EDUCATION and/or EXPERIENCE
· High School diploma.
· Ability to communicate accurately and clearly both orally and in writing.
· Proficiency in use of computers, printers, fax machines and electronic medical records.
· Good customer service skills and the ability to interact with clients, families, staff, management, as well as the general public.
· Knowledge and understanding of the ten guiding principles of wraparound and their implementation in service planning.
LANGUAGE SKILLS
Excellent reading skills are required to produce routine reports and correspondence.
MATHEMATICAL SKILLS
Basic math skills of addition, subtraction, multiplication and division are required.
