PedEM Practice Administrator

Job Description

This is for a Practice Administrator for a physician group, PedEM, which provides pediatric emergency services at Baptist Children’s Hospital.

About PedEM

PedEM, PLLC is an independent, democratic physician group that provides pediatric emergency physician staffing services at Baptist Children’s Hospital in Miami, Florida. The group is comprised of approximately 14 pediatricians and pediatric emergency physicians, who are responsible for attending to approximately 25,000 visits per year at the Baptist Children’s Hospital Emergency Center.


Reports to the President of PedEM and the Physician Owners.

Baptist Hospital main campus in Miami (Kendall), Florida.

General Responsibilities and Duties

Responsible for developing and implementing the practice mission and strategic vision.

Recommends, develops, implements improvements for the practice.

Continually monitors operations, programs, physical properties. Initiates appropriate changes.

Represents the clinic in its relationships with other health organizations, government agencies, and third party payers.

Manages all practice managed care relationships, including monitoring of related reimbursement, negotiation with third party payers, provider credentialing, and maintenance of contracts.

Maintains strictest confidentiality.

Other duties as assigned or requested.


Assist in Hurricane Schedule generation

Assist in finding shift coverage should there be gaps or immediate needs.

Billing and Physician Documentation

One of the primary responsibilities of the practice administrator will be to engage with the physicians and the billing company to ensure appropriate and timely documentation of the patient encounters in an effort provide revenue cycle integrity.

Oversees and manages the billing reconciliation process in coordination with the contracted billing company

Daily supervision and review of all documentation for patients seen by the practice physicians, with the goal of ensuring timely and appropriate documentation

Daily interaction and communication with physicians to ensure documentation requirements are met.


Responsible for coordinating with accounting firm to ensure timely submission of invoices and payment of bills to vendors

Patient Experience

Track and monitor any Patient-Guest Services reports regarding patient care

Coordinate for appropriate logging and response by medical directors


Responsible for credentialing and re-credentialing of new and existing physicians as needed for the hospital, billing company, and insurance companies, including Medicare and Medicaid.

Track and report all necessary documents for credentialing, including certifications, continuing medical education, and licensing.

Ensures provider compliance with all regulatory agencies. Tracks all provider certificates and CME’s to ensure all are up to date.

Compliance & HR

Ensures practice compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies, including Centers for Medicare and Medicaid Services and Joint Commission and Agency for Healthcare Administration (AHCA)

Maintain HR files for all the practice physicians

Communication & Meetings

Serves as liaison and channel of communication between the hospitals, health plans, insurance companies and regulatory bodies.

Assists in coordinating staff meetings, keeping meeting minutes, and provides proper follow up of items discussed when appropriate.

Calendars & Scheduling

Maintain and manage calendar for the Medical Director and PedEM leadership as needed.

Coordinate with the hospital based administrators on scheduling times and meeting spaces as needed for PedEM staff meetings and all Medical Director/Assistant Medical Director meetings.

Send out invitations and reminders to practice physicians for meetings and events

Education and Observerships

Work with the practice liason for visiting physician lecturers and arrange for travel, meals, hotel as needed.

Coordinate and manage Student Observer Program for the department.


Required to regularly report on progress on projects and administrative duties to the physician owners of the group.

Required to help compile and design reports to distribute to the practice physicians regarding physician productivity, metrics, and other practice-related concerns.

Requirements & Qualifications


Bachelor’s Degree required; preferred in Healthcare Administration or similar field.

Experience & Skills

Minimum 2 years of experience in healthcare field, preferably in a medical or emergency medicine practice.

Working knowledge of billing, coding and electronic health records management in the acute-care or emergency room setting.

Exceptional working knowledge of all Microsoft Office products (Word, Excel, PowerPoint, Visio)

Read, write, speak and understand English proficiently.


The employee should have the ability to relate well with physicians, employees, and other healthcare professionals, including hospital leadership and executive level leaders.

This employee must be dedicated to the vision and goals of the practice.

This employee must have the ability to remain calm and exhibit tact in stressful and/or delicate situations.

The employee must have the ability to handle confidential issues with discretion, and is required to sign a non-compete and non-disclosure agreement for PedEM, and all applicable non-disclosure and privacy documents as needed by the hospital.

The employee will be required to undergo HIPAA training as needed by the hospital or the practice

Yearly Salary

Commensurate with experience


15 days of PTO per year

All Federally observed holidays


Full health insurance provided for a single employee rate

Cell phone allowance of $50 per month


Employee is expected to provide transportation to and from the location of employment; parking will be provided


All meals are the responsibility of the employee
