Position Description:

The Construction Coordinator (CC) assists the team in attaining the project goals, which include coordinating and accomplishing the administrative, financial, contractual and clerical requirements for the project. The Construction Coordinator is expected to administer purchase and change orders in the processing of and payments for costs incurred during the construction of projects. The CC is also responsible for interfacing with clients, suppliers, contractors, governing agencies and following up with all stakeholders. The individual will be required to plan, organize, and prioritize his/her work, often with minimal supervision, to successfully meet deadlines and complete projects in a timely manner.


  • Creates, manages and organizes all file systems and folders
  • Assists in the day to day Administrative tasks of running multiple construction projects
  • Prepares, distributes and tracks general contract bid packages and bid submissions
  • Manages billing and collections for all projects
  • Turns in all invoicing for proper close out of each job
  • Answers phone calls, checks voicemails and e-mails, prepares invoices, tracks customer billing and payments
  • Tracks construction project schedules; timely completion of project status using internal systems
  • Responsible for quality control by tracking status of orders and scheduling equipment installs
  • Point of contact for general contractors, sub-contractors, vendors and operations teams for construction projects
  • Performs all general office duties and operations meeting attendance
  • Acts as a confidential assistant, maintaining confidential and sensitive information
  • Maintains project records and provide writing, editing, and documentation preparation support (daily reports, meeting minutes, and contract documents)


  • Four-year college degree
  • 5+ years’ experience in office management or related field
  • Proficient in Microsoft Office, including MS Word, Excel and Outlook
  • QuickBooks experience preferred
  • Must exhibit high level of professionalism and good judgment in a variety of situations
  • Must be able to handle sensitive, highly confidential information with discretion
  • Must be highly organized with flawless follow up skills and attention to detail
  • Flexible to adapt to changing priorities
  • Strong written and oral communication skills
  • Effective time management skills with ability to prioritize appropriately
  • Must be flexible to a non-traditional schedule to respond after hours on a limited basis
  • Ability to manage competing deadlines

Job Type: Full-time

Salary: $16.00 to $18.00 /hour
