Duties and Responsibilities:
Under the direction of the Director of Volunteer Services, the Part-Time Volunteer Services Assistant is responsible for providing administrative support to Volunteer Services and other areas in the overall department. This position assists the department in meeting its responsibilities related to supporting volunteers working within virtual and in-person projects; with an emphasis on activities related to the Friends Groups of the Queens Public Library. Performs other duties as required.
General Office and Administrative Support
This position is responsible for general office and administrative tasks including setting up meetings, filing, preparing materials for individual and mass mailings, and distributing departmental mail. Organizes and maintains all files related to the Friends of the Library. Tracks and processes membership related information and prepares Membership and Welcome Packets (Handbooks and T-Shirts). Prepares Quarterly Bulletin mailings. Manages departmental supplies including surveying the supply storage areas to ascertain what is needed.
Database Management
Updates and maintains Friends Membership records. Maintains accurate records of Friends meeting attendance and sponsored programs. Updates and maintains Friends communication records including: accurate contact lists for members and supporters. Performs data entry and processes various transactions using SAP, Virtua, Constant Contact and Salesforce CRM.
Event Planning Assistance
Assists Volunteer Services Manager with preparing supplies for upcoming Friends related events, and maintains accurate inventory of materials. Assists with scheduling supply delivery and pickup arrangements with Community Library staff and shipping department. Attends and provides on-site support at indoor/outdoor events, and helps organize logistics and manage volunteers.
Position Information:
- The rate of pay for this position is $20.00 per hour.
- Varied schedule with availability of 3-4 days with a maximum of 17 hours per week. Occasional Saturdays may be required.
- Part-time positions do not offer any medical or health benefits.
Qualifications:
High School Diploma or High School Equivalency is required. General office experience required. Must be highly organized, detail oriented and able to work independently. Excellent oral and written communication skills and strong interpersonal skills required. Working knowledge of MS Office Suite required.
