This position is for the Afternoon (2:00PM) to Evening Shift (7:30PM) and Weekends (8:00am - 6:00PM).

Location/Offices: Our practice is located conveniently in a lake side professional business community just off Interstate 5, on Eastlake Avenue E., Seattle 98102 and close to clients at Amazon and Google.

Job Objective: Receptionist for busy psychiatric practice. Primary back up for the TMS Coordinator. You will perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.

Key responsibilities:

Essential Functions:

- Greets and directs patients

- Collecting/entering payments

- Able to respond to questions in a compassionate, tactful and professional manner

- Answers main phoneline; directs calls and takes messages as needed

- In charge of completion of patient paperwork and filing

- Receiving and scanning records

- Handles patient scheduling.

- Explain and administer treatments to patients.

- Follow established treatment and office procedures and maintain patient confidentiality relating to TMS treatments

- Communicate effectively with Medical Directors about patient progress.

- Maintain a high degree of accuracy regarding all treatments.

- Provide administrative support as needed

- Managing electronic health records

- Opening and distributing office mail and accepting packages

- Other administrative duties


Excellent written and verbal communication, creating a safe environment where patients feel cared for, Professionalism in all office practices and procedures, Ensure patient confidentiality, Customer service focus, Team player.

At least two years’ medical office & administrative support experience.

Medical assistant or CNA experience a plus!

Some knowledge of Medical Terminology

Basic Understanding HIPAA and Patient Confidentiality

Proficient in Microsoft Office Suite

Must be Dependable and Have Reliable Transportation

Type no less than 50 WPM

Familiarity with EHR programs

Able to take patient vital signs or willing to be trained
