Executive Assistant to the President/CEO

The Executive Assistant works under the supervision of the Senior Executive Assistant to the President/CEO and is tasked with the responsibility of assisting the President/CEO with managing the daily operation of a busy administrative office at an international medical association. He/she serves as a gatekeeper and provides the support and resources necessary to carry out the President/CEO’s responsibilities.

Duties and Responsibilities:

Administrative Duties:

  • Manages a complex calendar of activities/travel for the President/CEO
  • Coordinates domestic/international travel arrangements for the President/CEO
  • Travels with the President/CEO to manage onsite logistics, as needed
  • Engages in relationship-management on behalf of the President/CEO
  • Screens and makes calls for and on behalf of the President/CEO
  • Maintains files for the Executive Office, including those related to the Board
  • Coordinates Board meetings and events pertaining to the Office of the President/CEO
  • Provides administrative support to the Vice Presidents, as needed
  • Performs other professional duties as assigned by the President/CEO

Board of Trustees Relations:

  • Coordinates Board and Executive Committee meetings; also attends these meetings and is responsible for taking minutes of the meetings and distributing copies to the Board

Internal/ External Relations & Resource Development:

  • Represents the President/CEO to the public, community, donors, and staff through professional face-to-face, telephonic, Internet-based, and other communication media
  • Independently responds to correspondence of a routine and at times sensitive nature
  • Liaises with Senior Management Team around administrative matters
  • Plans and participates in public outreach activities related to community and governmental relations issues including serving in and/or leading mission-related collaborative efforts
  • Serve as the point of contact for the input of data into relationship management software

QUALIFICATIONS:

  • Bachelor’s degree required
  • Minimum of three years administrative support to Executive-level staff preferred
  • Demonstrated proficiency in grammar, editing, and proofreading
  • Excellence in verbal and written communications, as well as social media (Twitter)
  • Superior organizational, time management, and multi-tasking skills
  • Intermediate to advanced skills in MS Word, Excel, Access, and PowerPoint
  • Demonstrated knowledge of office systems and processes
  • Strong interpersonal and managerial skills

Salary: $55,000.00 to $60,000.00 /year

Experience:

  • Administrative/Executive Director Support: 5 years (Required)
