Summary Objective:

Administrative Assistant is directly responsible for answering incoming calls, directing calls to appropriate associates, and greeting visitors. The Personnel Coordinator will ensure set schedules in a way that each vessel within the company is appropriately manned. This may involve rotating internal employees or working with external agencies to provide the organization with the best in staff which of course is relevant to the prescribed job description. These professionals are also required to maintain daily staffing reports and record so that each activity is logged properly.

  • Provide both clerical and administrative support to all management and office personnel.
  • Greets & directs visitors of the company, takes and retrieves messages for various personnel as well as provide callers with general company information.
  • Most work involves both written and oral communication, word processing and typing, and, organizational skills, as well as the ability to multi-task and work well under pressure.
  • Assist in the processing and implementation of personnel; prepares personnel files to be transferred to HR.
  • Assist the Personnel Manager with interviews and orientations
  • Conduct competency checks on new and existing employees
  • Assist in maintaining staff operations across the entire M/V fleet.
  • Obtain daily staff requests and fill them efficiently
  • Uphold accurate system for tracking staff over a variety of shifts
  • Coordinate staff to meet the organization’s requirements

Supervisory Responsibility:

This position has no supervisory duties.

Work Environment:

The job operates in a professional office environment. This role is routinely using standard office equipment such as computers, phones, copiers, filing cabinets and fax machines.

Physical Demands:

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands and fingers to handle or feel objects, keyboards; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or drawl; talk or hear. The employee must occasionally lift or move up to 25 pounds. Specific vision abilities required for the job include close vision, distance vision, color vision, depth perception and the ability to adjust focus.

Position type/Expected Hours of Work:

This is a full-time position. Days and Hours of work are Monday through Friday, 8:00am – 5:00pm. This position may require long hours and weekend work.

Travel:

Travel is primarily local during the business day, although some out-of-area and overnight travel may be possible.

Minimum Requirements/Experience:

  • High school diploma/ G. E. D or equivalent of 1 to 3 years related experience or training, or equivalent combination of education and experience. (CEO can grant variance)
