Overview

Performs administrative duties and office support activities for the top executive in the organization.

Responsibilities

Understands the annual business cycle and anticipates the executive’s needs regarding preparation for and scheduling of activities; manages the executive’s calendar; schedules meetings, calls, and other interactions based on the priorities of the executive
Schedules travel; completes expense reports in a timely manner.
Understands business etiquette; interacts and works successfully with senior leaders of customers and suppliers to ensure that customer needs are addressed while balancing an executive’s other responsibilities; researches solutions to questions and responds independently to email and phone inquiries.
Makes sound choices in ambiguous situations; solves issues with reason and calm in times of crisis
Manages the executive’s email and other correspondence, responding on behalf of the executive where appropriate, forwarding communications to appropriate staff to respond, or bringing the matter to the attention of the executive.
Develops an understanding of the executive’s work style and preferences; assumes responsibilities as requested by the executive
Works with the executive’s staff to ensure that business decisions are made in a timely fashion while balancing the executive’s other responsibilities; schedules staff meetings; arranges meeting space or virtual meeting tools; develops staff meeting agendas and ensures that participants are prepared for the meetings; ensures that any follow-up actions resulting from the meeting are documented and completed.
Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; approves transactions; responds to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests
Initiate, develop, lead, and participate in improvement processes; actively participates and team audits and resulting process improvements.
Understands the structure of the organization and maintains a strong network across departments.
Demonstrates the highest level of confidentiality in the execution of all responsibilities.
Other duties as required.

Qualifications

Education, Licensing, and Certifications :
Associates degree or equivalent experience required

Experience :
Six or more years of executive administrative assistant experience required

Skills and Knowledge Required:
Ability to accurately type 65 or more words per minute
Working knowledge and proficiency with Microsoft Word, Excel, PowerPoint, and Access
Ability to read, understand, and interpret instructions, policies, and procedures
Strong written and oral communication skills; uses good grammar and appropriate form in routine correspondence; uses tact, diplomacy, and flexibility in all interactions
Ability to organize and perform work efficiently; strong attention to details
Basic math skills
Travel requirement (as a percent): <5% for occasional meeting

Pre-Employment Requirements:
Must submit to drug testing and a background checks
Will be tested on tools related to job requirements

Physical Requirements:
Must be able to work shifts or flexible work schedules as needed.
100% of work is accomplished indoors and in air conditioned or well ventilated facilities
Work is accomplished in an office or in a cubicle space equipped with a telephone and computer.
The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
