Our water & sewer line replacement (underground) team is growing and we are seeking a friendly, organized, and proactive individual to join our team as an Underground Customer Service Representative (CSR) / Operations Assistant.
The essential functions include, but are not limited to, the following:
Underground Customer Service Representative
· Sales Support: Act as administrative support to the underground sales team, documenting important client information, maintaining a lead database, assisting with outbound follow-ups, etc.
· Project Support:
o Effectively coordinates underground estimates and jobs.
o Reschedules customers as necessary (consulting with sales manager to determine customer prioritization and discounts for dissatisfied customers).
o Coordinates with the underground team to solve basic project-related issues from customers.
o Provides administrative support for UG team leads (e.g. ordering parts/materials, etc.).
· Compliance Support: Handle permit applications, Miss Utility coordination, and inspection scheduling, acting as the main liaison between Heil technicians and regulators (e.g. inspectors, Miss Utility, etc) to ensure compliance with local regulations.
· Payment Processing: track approval/payment status of customer invoices; follow up with customers as needed; respond to customer inquiries and billing questions.
· Other related duties as assigned or requested
Operations Administrative Support
· Misc Support: Support the operations team with various administrative & office-related tasks to ensure smooth service delivery.
Secondary Responsibilities
Backup for Plumbing Service Call Center
· Answer incoming calls and respond to customer email inquiries professionally.
· Assist customers with service questions, pricing, and scheduling.
· Maintain accurate and up-to-date customer records.
· Process customer payments efficiently and accurately.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Excellent interpersonal and communication skills, both written and verbal.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficient with using basic computer office software (e.g. Microsoft Excel, Word).
- Must be able to work independently with minimal supervision.
- Experience in customer service or administrative roles is preferred, but not required.
- Must be authorized to work in the United States without the need for employer sponsorship now or in the future.
