Position Overview
Job Title: Administrative Assistant
Location: New York, NY

Administrative Assistants perform a wide range of duties supporting senior bankers as well as the entire Corporate Finance platform. They manage all aspects of senior bankers’ calendars, and organize travel, meetings and conferences.

Your Role

What You’ll Do

Arrange C-Suite client meetings for senior bankers either individually or in regional groupings, leveraging direct relationships

Arrange international/domestic travel and hotel arrangements

Develop travel itineraries and meeting agendas for senior bankers

Maintain senior banker calendars and create/submit meeting call reports

Coordinate client/banker dinners and other entertainment opportunities

Coordinate internal meetings, including scheduling, reserving meeting rooms, distribution of meeting materials, etc

Prepare materials for presentations and meetings, including typing, proofreading, photocopying and distribution

Prepare and process monthly travel and entertainment expense reimbursements

Log entertainment, gifts and charitable donation requests for approval

Assist in employee onboarding and off boarding including desk coordination, floor access, ID creation, etc

Liaise directly with Group Technology to resolve IT issues

Order office supplies and process and tracking invoices for payment

Provide timely and accurate follow-up to projects

Skills You’ll Need

College degree required

Previous relevant experience as an Executive Assistant

Ability to work effectively to meet time-sensitive deadlines

Highly motivated and willing to take on ad-hoc work

Demonstrated team player with excellent organizational skills and ability to anticipate needs

Ability to prepare and edit presentations/documents accurately

Skills That Will Help You Excel

Excellent verbal, written and interpersonal skills with the ability to interact with clients, officers, and peers in a professional manner, handle assignments with a high level of confidentiality and discretion

Proficient in Microsoft Word, Excel, PowerPoint and Outlook
