We are seeking a highly organized and proactive individual to join our team as a Personal Assistant for our CEO, mainly in an Esthetics and Medical Wellness Spa environment. As a Personal Assistant, you will provide comprehensive support to the executive team, primarily the CEO and assist with various tasks to ensure the smooth operation of the office and day-to-day functions of the executives. The ideal candidate will possess exceptional communication skills, impeccable attention to detail, and the ability to manage a wide range of administrative and executive support tasks efficiently and effectively. A medical background is a plus.
PA RESPONSIBILITIES
- Manage the executive’s calendar(s), schedule appointments and coordinate meetings and travel arrangements.
- Screen and prioritize incoming calls, emails, and correspondence; ensuring urgent matters are addressed promptly.
- Prepare and edit correspondence, presentations, reports, and other documents for the executive.
- Arrange and organize travel, hotels, and transportation.
- Scheduling and organizing meetings and events.
- Serving as the first point of contact for the executive
- Coordinate with medical representatives, marketing team and staff
- Manage personal errands and tasks for the Executive, as required.
- Anticipate needs to maximize time for the executive and proactively identify opportunities to streamline processes and enhance efficiency.
- Assists with various other special projects and tasks as needed.
PA EXPERIENCE & SKILLS
- 2+ years of proven experience as an executive assistant, personal assistant or similar role supporting executives.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong written and verbal communication skills, with a meticulous eye for detail.
- Proficiency in Microsoft Office Suite (outlook, Word, Excel, Teams) and other relevant software/platforms.
- Proficiency in Social Media posting and promotions
- High level of maturity, discretion, and confidentiality when handling sensitive information.
- Ability to work independently with minimal supervision and thrive in a fast-paced, dynamic environment.
- Flexibility to work outside office hours if needed.
- High school education (minimum), college preferred.
- Must have reliable personal transportation and a driver’s license.
- Willingness to pass a pre-employment criminal background check.

Pay: $19.69 - $23.71 per hour
