The Practice Assistant will play a crucial role in overseeing the operational aspects of the practice, particularly in the areas of business and compliance. We are seeking a highly organized and self-motivated individual with a strong aptitude for technology, a proactive attitude in following up with stakeholders, and effective communication skills for external interactions on behalf of the team.
Key Responsibilities include:
- Managing the monitoring of incoming claims intake mailboxes, including sending acknowledgments, routing losses to designated attorneys, and maintaining comprehensive spreadsheets for incoming and pending losses.
- Maintaining organized schedules detailing attorney assignments across various high-volume programs.
- Assisting in the preparation of loss runs and bordereaux for multiple programs.
- Collaborating in the investigation of unidentified balances.
- Tracking the progress of reports and reviews, ensuring compliance with due dates.
- Monitoring and documenting requests for authority and funds.
- Managing inquiries from clients like Ascot/DXC, coordinating responses from billing attorneys.
- Facilitating communication with Ascot DCA (Delegated Claims Authority) team regarding requests and payments.
- Collaborating with the Accounting and billing attorneys to monitor draft bills, issue final invoices with payor allocations, and follow up on outstanding invoices.
- Conducting internal audits to ensure compliance with SLAs (Service Level Agreements) and TPAs (Third-Party Administrators) on files.
- Overseeing diary compliance, including timeliness of reports, and submission of weekly update memos.
- Maintaining departmental calendars for trials, mediations, watch lists, and travel arrangements.
