We’re looking for a dynamic Executive Assistant to support the CEO of SaltStack. To be successful in this role, you need to be self-starter who can effectively communicate across all levels of the organization, manage multiple priorities, anticipate needs, remember details, thrive in a fast-paced and constantly evolving environment.
The Executive Assistant acts as a liaison between the CEO and customers and investors, maintains and organizes current information, and coordinates the preparation of various company related projects. This person will be a part of the company’s overall administrative team and responsible for general office functionality including; answering phones, calendar tracking, file management, record keeping and handling other administrative tasks as required.
Manage both simple and complex calendars and scheduling logistics
Arrange group or team meetings, both on and off-site
Coordinate meals for onsite and offsite meetings when needed
Take meeting notes as needed, document action items, distribute minutes, and hold others accountable to commitments
Proactively prepare and/or collect key meeting agendas and support materials
Coordinate domestic and international travel arrangements and processes expense reports
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
Offloading miscellaneous special projects from the executive's to-do list and in some cases communicating on their behalf
Handle and communicate information of a confidential and sensitive nature inside and outside of the company
Proficient computer skills, including G-Suite, Microsoft Office, PowerPoint, and Zoom
Comfortable in a fast-paced environment managing multiple tasks and able to prioritize and manage time effectively
Self-directed and highly organized
Professionalism in using phone / email / teleconferencing
Three years’ prior experience in C-suite level administration
Valid driver’s license
Bachelor’s degree in business administration or related field
Experience managing board meeting minutes
Experience at a high-growth startup
Travel and Location Requirements:
This position will be required to work out of the Lehi, Utah, office.
No relocation packages are available for this position.
