Position Title: Executive Director of Sunflower CASA Project, Inc.

Supervision: Board of Directors

Agency: Sunflower CASA Project, Inc. is a service umbrella for three programs: Court Appointed Special Advocates (CASA) Core Services, Stepping Stones Child Advocacy Center (CAC) and Sunflower Bridge Child Visitation and Exchange Center (CEVC). We have two office locations in Manhattan providing these services. Sunflower CASA Project, Inc. is a non-profit, 501 (3) c that has been in operation since 1988. The agency is governed by a 12 member Board of Directors.

General Description:

The Executive Director is ultimately responsible for the overall management of the agency and all aspects of the agency’s operations. This primarily involves the supervision and coordination of a volunteer service program that provides advocacy services to abused and neglected children that are in the court system; supervision and coordination of a child advocacy center (CAC); and supervision and coordination of a child exchange and visitation center (CEVC). Key responsibilities include, but are not limited to, grant writing and reporting, resource development and maintenance, community and public relations, agency and program planning, accreditation and certification of agencies, liaison to the Board of Directors, personnel management and fiscal management.

Qualifications:

  • Candidates will demonstrate strong skills in grant writing, fiscal management, resource development and maintenance, agency and program planning and public relations.
  • At least 5 years’ experience in relevant job, role and responsibilities.
  • Previous experience working with volunteers and knowledge and understanding of child abuse and neglect, families in crisis and other social services skills are given priority. Advanced degree is preferred in public administration, nonprofit management, business, psychology, social work, law, sociology or other related field. Bachelor’s Degree is required.
  • Familiarity with fundraising is a plus
  • Familiarity with donor databases and case management databases a plus.
  • Familiarity with QuickBooks a plus.

Reporting Relationship:

  • The Executive Director is hired by the Board of Directors of the agency and reports directly to the Board of Directors
  • The CASA Core Services Director, Stepping Stones Child Advocacy Center Program Coordinator, Sunflower Bridge Child Exchange and Visitation Center Administrative Coordinator and Bookkeeper report to the Executive Director. Oversees all staff in the absence of the program leadership. The agency employs 7 full time positions and 8 part time positions.

Duties and Responsibilities:

Resource Development

  • Research and prepare grant proposals and other funding applications. Ensures timely submission of grant reports
  • Maintain a donor base for both monetary and non-monetary resources
  • Maintain a donor tracking system for our direct mailing campaigns
  • Conduct and oversee the business sponsorship campaign
  • Work with Board and oversee fundraising events and activities

Community and Public Relations

  • Coordinate public relations with the purpose of recruiting volunteers and increasing public awareness of the CASA program and its goals and activities
  • Develop and maintain relationships with all appropriate groups, agencies and organizations, and any and all other child advocacy agencies and community service organizations
  • Oversee release of press packets and news releases and follow-up of any media coverage
  • Approve all written public relations material printed by the agency
  • Be available for public speaking engagements
  • Oversee the production and distribution of the quarterly newsletter
  • Manage the agencies social media accounts; Facebook, Twitter and Instagram
  • Manage the agencies website

Fiscal Responsibilities

  • Manage day to day fiscal operations
  • Prepare and maintain agency’s annual budget.
  • Oversee financials for submission to our accountant for annual audit.
  • Ensure that all IRS related reports are filed
  • Oversee administration of program funds in accordance with funding requirement based on grants
  • Ensure all grant files contain the required fiscal documentation
  • Manage the agencies foundation accounts, varies CD, and investments.

Agency and Program Planning

  • Meet with program staff to determine and discuss any problems or plans involving volunteers (recruitment, training, screening and supervision), court staff, agency personnel or agency operations
  • Communicate with the District Courts, (21st and 1st Judicial Districts) and other child welfare agencies apprised of agency directives and activities
  • Oversee agency and program compliance with established policies and procedures and with National and State CASA, National Children’s Alliance (NCA), the State CAC chapter, the State of Kansas, Office of Judicial Administration (OJA), Kansas Attorney General’s Office, and Court systems.
  • Monitor staff utilization and maintenance of CASA Core Services data tracking systems (CASA Manager) and program spreadsheets for both volunteer and caseload files
  • Monitor staff utilization and maintenance of data tracking systems (CAC CareNet) and program spreadsheets for the child advocacy center (CAC)
  • Monitor staff utilization and maintenance of data tracking systems (CAC CareNet) and program spreadsheets for the child advocacy center (CAC)
  • Monitor staff utilization and maintenance of data tracking systems (Visitation Manager) and program spreadsheets for the child exchange and visitation center (CEVC)
  • Develop and initiate time-oriented strategic plans to establish agency goals collaboratively with the Board of Directors
  • Attend and work with National and State CASA, CAC and Advocacy programs through conferences and meetings
  • Oversee and participate in the evaluation of agency employees and volunteers
  • Ensure all court orders, documentation, employee records, volunteer records are maintained in accordance of the law and National, State and local program accreditation and certification guidelines
  • Oversee the completion and receipt of Volunteer Monthly reports by the CASA Service Director for agency documentation and grant file documentation
  • Ensure Volunteers’ questions are answered and offer consultation as needed
  • Ensure Case management protocol is being followed
  • Seek and support Interns, as needed.
  • Board of Director’s Liaison
  • Attend all board meetings
  • Prepare board packets and reports
  • Oversee implementation of all board directives, policies and procedures
  • Serve as liaison between board and agency staff
  • Keep board apprised of agency operations, changes, challenges and successes
  • Monitor board/committee activities and attend committee meetings

Personnel Management

  • Hire and supervise administrative and management staff
  • Prepare yearly performance evaluations (oral and written) for all administrative and management staff
  • Staff Development

Other requirements

  • Be at least twenty-one years of age.
  • Successful completion of the following; (a) FBI Criminal Records Check (Office of Judicial Administration Criminal History Record Information); (b) DCF Child Abuse & Neglect Registry Check; (c) DCF Adult Abuse, Neglect, Exploitation Central Registry; and (d) Offender Registration Check.
  • An employee must maintain background and security clearances through-out employment.
  • An employee must possess reliable transportation, appropriate valid vehicle insurance and registration, and a valid driver’s license.
  • Provision of three professional references from persons unrelated to the applicant.
  • Completion of a personal interview.
