We are a local Orange County general contractor specializing in multi-family construction in Southern California. We are seeking a qualified candidate with a strong work ethic and background in the construction industry. The ideal candidate is flexible and willing to grow with the company, bringing his or her own valuable experience, skills and contributions to build a solid portfolio of projects and industry relationships.
What You Will Be Doing
Working with multiple points of contact (i.e. Project Managers, Project Engineers and Accounting), the candidate will be tasked with the following:
Preparing Subcontract Agreements for signature
Formatting scopes of work
Formatting schedules of value within scope and in Payment Application document for billing
Distributing and tracking through DocuSign
Filing and distributing executed copies to project teams
Entering, tracking and organizing commitments and related documentation
Entering commitments in Sage
Uploading Schedules of Value into Sage and confirming accuracy of entries.
Reviewing commitment reports against Job Cost and Budgets on a regular basis.
Updating job cost and budget trackers to maintain up to date information and ensure accuracy and the cohesion of information between the Production and Accounting teams.
Requesting, tracking and entering compliance documents in Sage
Business licenses & expirations
Contractor's State Licenses & expirations
Enrollment and tracking of OCIP compliance
Regular reconciliation with third-party OCIP administrators on rates and enrollment status
Coordination and issuance of contract and project end OCIP adjustments
Enrollment and tracking of Prevailing Wage compliance (as applicable)
Running reports for status on commitment execution and compliances for review by Project Teams
Drafting of POs and setup of Purchase Orders in PO log for invoice tracking
Tracking Safety Compliance Documents (JHA's, manuals)
Experience with Prevailing Wage not a requirement, but a plus
What You Need for this Position
Associate's or bachelor's degree in Business, Construction Management or related field preferred (or equivalent experience) and 2 + years of experience.
- Excellent communication and writing skills.
- Proficient in Microsoft Excel and Word.
- Experience in Timberline/Sage, not a requirement, but a plus
- Self starter with excellent time management skills.
- Ability to convey a sense of urgency in a professional manner. Candidate will interface not only with subcontractors and field personnel, but consultants, clients and client representatives.
