Greet office visitors and answer telephones; answers questions and provide information concerning office functions and activities in accordance with established procedures; take messages or refer callers to appropriate personnel. Interface with customers, executives, contractors and the general public.
Assist with preparation, review and monitoring of compliance activities, collecting compliance data, preparing and submitting compliance reports and preparing statistical compliance analysis.
Assist the President and other staff with administrative details; establish and maintain a variety of records, logs and files related to the office activities and operations.
Participate in staff meetings and project team meetings; manage update of projects and outreach calendar/schedules. Prepare minutes of meetings for company review and approval to be submitted to client.
Assist to develop and maintain a comprehensive database of key stakeholders and community leaders (i.e., elected officials, resident leaders, civic associations, community development corporations, merchant and business organizations, homeowners, property owners and other developers, social service providers, educational institutions, public safety agencies, churches and faith-based institutions).
Assist to establish a computerized mailing list to transmit notices of meetings, job fairs, newsletters and other project information; manage distribution of the above via electronic mail or postal mail. Assist to identify strategic points within the community to deliver flyers and/or public notices and other project information.
Assist to produce text and graphics to be incorporated into client’s social media portals (i.e., company website, facebook, twitter, instagram, etc.); create links with other entities, Government, local businesses and organization’s websites.
Assist to develop and produce written information and marketing materials about the project for distribution in the community and inclusion in community newsletters, newspapers and bulletins; both print and email format.
Participate or assist to facilitate a variety of community meetings designed to provide a formal presentation of a project, (i.e., review of architectural designs, local participation, local employment, apprenticeship training and respond to questions). Assist to coordinate and facilitate meetings, workshops, job fairs, pre-bid conferences and other public forums to engage the community on development initiatives. Document community concerns, suggestions and/or complaints; track responses through resolution.
Operate a personal computer and peripheral equipment, using modern software, including word processing, data base management, and spread sheets; make charts and graphs; operate a variety of modern office machines and equipment such as a calculator, scanner, facsimile and copier.
Assist to prepare and submit weekly reports of outreach activities and prepare comprehensive tracking reports for submission by the company to its Clients, as required; outline program progress, list accomplishments, identify future projections and provide itemize expenditures.
Perform related administrative or outreach duties and responsibilities as required.
