Extractable is an award-winning, data-driven digital experience design firm in San Francisco in search of a Happiness Coordinator. To us, the ideal candidate is detail-oriented with a hero, can-do attitude and passionate about people and office management. You will oversee the day-to-day operations of the office, assist the Executive team as well as help organize happy hours and special events. Outstanding written and verbal communication skills are a must. Agency experience preferred.

Key responsibilities

Be the main point of contact for Extractable for phone calls, guests, and vendors
Open and close the office daily, distribute mail, water plants, tidy-up and DJ music
Order and stock office supplies: food/snacks, drinks, and office supplies
Ensure the kitchen, common area, and meeting rooms always look client-ready
Provide general administrative and operational support to Executive leadership
Act as a liaison between the Executives and staff by relaying important information via the all staff email
Be the ‘Go-to’ person for any office questions, assistance, problems with a positive can-do attitude, ready and willing to solve anything from office management to hands-on fixing office appliances
Track all purchases, organize receipts, book and manage travel as needed
Additional responsibilities

Assist in on-boarding new hires; such as, cleaning out the old desk, ordering and managing building key fobs, assist in scheduling interviews as needed, giving them a tour and making them feel at home.
Drive engagement in the culture by planning happy hours, birthday celebrations, the annual holiday party, and anniversaries.
Coordinate office perks; such as, weekly team lunches.
Assist with HR related duties and special projects as needed.
Assist CEO, CFO, Director of PM, and Bookkeeper with timesheets: work in Harvest, time management tool, to review all employee/contractor time, and act as site Admin, adding new resources and supporting PM team with creation of projects, tasks, and assignments.
Assist CFO & Director of PM with Forecast, entering resource allocations, attending all Resourcing meetings and taking notes on/relaying outstanding action items back to the team.
Assist the Marketing department by promoting events on social media, coordinating trade show logistics, deadlines, and deliverables (booth shipping, company information, hotel, etc).
Required Skills / Experience

Willingness to learn and self-motivate
Familiar with Microsoft Suite, Keynote, Harvest
Excellent interpersonal and oral skills
Organized planner with meticulous attention to detail
Ability to maintain executive/employee confidentiality
Ability to maintain multiple schedules and projects simultaneously
Previous agency office management experience preferred
