The Role

CAA is seeking a Departmental Assistant to support a three Executives in our Music Touring department. The ideal candidate has a strong interest or professional background in the live music space, is quick thinking, motivated and open to working in an environment where he/she is capable of performing administrative tasks. The individual should be flexible, highly organized, and have the ability to multi-task. Administrative duties include heavy phones, coordinating meetings and schedules, preparing expense reports, producing correspondence, special projects and personal assistance as needed. Additionally, the Departmental Assistant, Tour Marketing will work with the Tour Marketing Executives and concert promotion companies (Live Nation, Goldenvoice, AEG, etc.) to prepare pre-sales and on-sales for national and international tours, manage tour marketing initiatives as needed, and act as a liaison between the client’s management and the concert promoters. The ability to work unexpected overtime is required. Growth exists for top performers.

Responsibilities

Scheduling and coordination of meetings for Executive(s)
Maintenance of Executive(s) day-to-day calendar
Conducting market research as needed
Manage pre-sale and on-sale grids, launches, organization, etc.
Manage guest lists and internal ticket requests as needed
Act as the liaison between clients, buyers, and agents
Qualifications

A Bachelor’s degree is required
1-2 years of experience in the live music industry, marketing, entertainment or related fields is preferred but not required
Proficiency in Outlook, Word, Excel and PowerPoint
Excellent communication and organizational skills
Proven ability to multitask and prioritize
Highly dependable with strong ability to adapt to ever-changing priorities
Strong interpersonal skills while understanding the importance of maintaining confidentiality
Interface with clients and C-level management with grace
