Administrative Aide

Administrative Aide needed to manage front desk/reception area for both the Programs in Physical Therapy and Occupational Therapy, graduate degree programs within the Department of Rehabilitation and Regenerative Medicine, School of Physicians and Surgeons. The Administrative Aide is responsible for meeting and greeting guests, prospective students, answering phones, and ordering all supplies. This position will provide support on all accounts payable, accounts receivable, purchasing, P-Card, and other related financial transactions; ensures all appropriate purchasing policies and procedures are followed in compliance with University policies and government regulations. Communicates verbally and in writing with the Purchasing Office as needed: The Administrative Aide is also responsible for paying invoices in ARC, creating new vendors and follow-up on outstanding payments. The Administrative Aide also compiles and processes Travel and Business Expense Reports reviewing for accuracy and completeness. Use of Columbia P-Card required to order supplies and to reconcile following university guidelines. Knowledge of finance and accounts payable required, experience with ARC preferred. Candidate will submit all requisitions for facilities and maintenance requests. The Candidate will work closely with Admission Coordinators to ensure application and required documentation received and folders created. Manage Exam Soft Software and course evaluations through Course Works. In addition, the Administrative Aide will work on various projects for both programs as needed. The candidate must be able to set priorities and handle multiple requests in a professional and timely manner. Discretion and confidentiality required and ability to follow-up on urgent office business needed.

Minimum Qualifications for Grade

Requires bachelor's degree or equivalent combination of education and business experience, plus a minimum of two to three years related experience.

Preferred Qualifications

The position requires excellent communication skills both verbal and written and ability to interact with students, faculty and staff. Knowledge of purchasing and accounts payable preferred. Strong organizational skills, ability to prioritize and meet deadlines required. Excellent computer skills and proficient in Microsoft office required. Candidate must be able to work independently with minimal supervision.
