Overview
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide crucial support to ensure the smooth operation of our office.
Duties
- Perform general clerical duties including photocopying, faxing, and mailing
- Answer and direct phone calls in a polite and professional manner
- Assist in resolving customer inquiries and issues
- Utilize phone systems to manage incoming calls efficiently
- Maintain office filing and storage systems
- Assist with data entry tasks using various software applications
- Provide administrative support to staff as needed
- Schedule staff for Language Bank appointments
- Facilitating new employee orientation
- Creates and maintains mailing lists and contact databases
- Produces promotional materials such as newsletters, flyers, and brochures
- Assists with the development of PowerPoint presentations and other computer-generated materials related to Healthy House programs
- Assists program staff in producing periodic grant and statistical reports, as well as staffing and productivity reports for the Executive Director and Board
- Schedules monthly meetings, prepares meeting notifications and meeting minutes
Experience
- Proven experience in customer service or administrative roles
- Familiarity with Human Resources receptionist duties is a plus
- Proficiency in Google Suite applications
- Strong data entry skills with a high level of accuracy
- Excellent phone etiquette and customer support abilities
- Fluency in Spanish or Hmong is advantageous but not required
Job Types: Full-time, Part-time
Pay: $22.00 - $25.00 per hour
Expected hours: 20 – 40 per week
