Role Purpose:

This position provides critical support to the national and key account sales team by relieving them of administrative work and serving as liaison between sales team; customers (including the buyers, logistics/compliance, and finance teams, etc.). Duties include, but are not limited to: order processing, sales reports, line sheets, image requests, vendor guide management, and other related tasks.

Principle Accountabilities & Responsibilities:

  • Receive and process orders via email, customer web portals, and EDI according to customers’ desired delivery dates and volumes and/or new product launch dates
  • Respond to daily email requests from our internal Brand Managers and relay accurate information which will be sent back to our licensors
  • Provide accurate and timely information to customers and sales reps, in response to a wide range of inquiries, and provide satisfactory resolutions
  • Order supplies needed to process customer orders and ensure timely delivery to our distribution facility
  • Record appropriate notes as relates to inquiries regarding order status, complaints and comments, and advise department head of trends or patterns in products or practices, which may need improvement or development
  • Prepare sales reps for high-profile customer meetings by preparing samples, merchandising needs, look books, assortment sheets, sales and open order reports etc.
  • Complete weekly multi-channel sales reports and end-of-day reports/processes.
  • Overtime and/or modified hours, including holidays and weekends, may be required during peak seasons
  • Some travel and participation in trade shows may be required
  • Other Duties and Projects as assigned

Experience, Knowledge & Skills Requirements:

  • Minimum of 3 – 5 years in Customer Service or Sales Support role
  • Must be familiar with EDI (Electronic Data Interchange) – this position involves daily operations of a large EDI mailbox, importing data from customers into our financial management system
  • Critical attention to detail, follow through, and accuracy skills in a high volume, fast paced environment

Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers

  • Excellent organizational and time-management skills
  • Experience interacting with customers in a professional, courteous manner
  • Advanced Microsoft Excel skills (v/h lookup, concatenate, pivot tables, text-to-columns are required and used daily)
  • Knowledge of Microsoft Great Plains (GP) is a plus
  • Comprehensive understanding of inventory and warehouse management
  • Easily trainable, high aptitude to learn details quickly
  • Knowledge of the commercial logistics industry
  • Knowledge of international shipping and related documents such as commercial invoices, certificates of origin, and harmonized tariff codes
  • Must be able to work under pressure and meet tight deadlines, while maintaining a positive attitude
  • Must be a self-starter and take initiative
  • Must have a Continuous Improvement and Team Player mindset
  • Must exhibit strong problem resolution skills

Associates Degree
