Position Title: Real Estate Sales Operations Administrator/Coordinator

Reports to : Qualifying Broker

Classification : Full-time Supervisory

Responsibilities : None

Position Mission

The mission of the RES Operations Administrator/Coordinator is to enhance the productivity, efficiency and effectiveness of the Real Estate Sales Department. You will work closely with the Marketing department, Real Estate Development and other departments as required. Ultimately, you will be a contract facilitator for the RES department Real Estate Brokers; the responsible parties to the contracts.

Essential Functions

The RES Operations Administrator is responsible for carrying out the following duties:

  • Implement and communicate processes and procedures to RES Team.
  • Enter listing information in Multiple Listing Service, Homewise Homes and resales, STARS, RES Database and schedule marketing materials and maintain the listing file.
  • Maintain RES Database to include information regarding resale listings; review to ensure information in Multiple Listing System matches information in RES Database.
  • Marketing liaison for RES Department – work directly with Marketing to schedule marketing materials.
  • RES Sales Meetings - take and distribute minutes in a timely manner.
  • Use the Homewise, Inc. STARS database system to track active listings and to collect data for weekly sales meeting.
  • Complies with all applicable regulations, policies and procedures.
  • Review and revise current under contract processes and procedures to maximize efficiencies and ensure compliance with local, state and national requirements.
  • Move the HPA File and pre-approval letter from counseling to lending via Doc Velocity, once client is under contract.
  • Enter under contract data into the Homewise, Inc, STARS database, upload documents into Doc Velocity, secured client files. Communicate with lending the necessary contract information; client name, property address, closing date, lending source and any available assistance offered to the client or HW project.
  • Work closely with the RES department to ensure all paperwork required for the contract is included in the contract package and fully executed. Facilitate the execution of any additional contract documents as required by lending, processing or underwriting.
  • Maintain all contracts in the RES departmental files for compliance to the Real Estate Commission of New Mexico.
  • Close out all sold contracts in the RES departmental files and track closed contracts for the month by client name and closing date.
  • Enter under contract, or pending, and sold information in Multiple Listing Service, Homewise Homes in the RES Database, and STARS.
  • Work closely with RES and RED to maintain accurate and timely information in the RES Database for all HW projects currently under contract or sold.
  • Lending liaison for RES Department – work directly with lending, relaying requests for additional documents or corrections to the contracts to the RES team. Providing solutions to any questions or requests that might require a Real Estate Broker License. Use the Homewise, Inc. STARS database system to track the active under contract data accuracy report and notify the responsible parties of any inaccuracies and rectify any discrepancies in the closed contracts data for RES and the Homewise Operations Management Team.
  • Complies with all applicable regulations, policies and procedures.

  • Successfully manage RES Purchase Procedures to ensure compliance with local, state and national requirements.

  • NM Real Estate Licensee preferred, not required
  • Bilingual required

Education and Experience

  • High school diploma or equivalent

Work Schedule

  • Ability to travel as needed.
  • Must be able to work extended hours including evenings or weekends as needed.

Physical Requirements

  • This is largely a sedentary role.
  • Must be able to occasionally lift up to 20 pounds
