The Administrative Assistant constantly interacts with ChemPoint employees and all ChemPoint visitors, showcasing strong communications, writing and multitasking skills while showing up as a high-energy, organized team-player.
A DAY IN YOUR NEW CAREER:
Front Desk/Administrative Services
Greet ChemPoint visitors such as suppliers, job candidates or new hires
Sign for packages and quickly notify recipients
Help mail outgoing packages and ensure timely pickups
Receive and manage business card request portal and distribute cards upon arrival
Order FedEx supplies and other misc. supplies as needed
Update CPtTV display with new hire photos & bios, promotions, Service Award updates, and announcements
Take all employee photos for badge and systems
Take visitor photos and upload to TV display; maintain folder of regular visitor photos for display
Facilities & Building Liaison
Represent ChemPoint as primary point of contact and day-to-day liaison to Building Management
Manage building access and employee ID processes; create, track, and distribute employee photo ID and building access badges
Report building maintenance issues via Building Engines tool
Manage Employee Transportation Programs
Manage and Track Parking Validations communicate end of month usage to the Finance team.
Manage the public transportation program (Orca card), tracking and maintaining adequate inventory
Conferencing and Meetings
Coordinate supplier meetings and make restaurant and hotel reservations
Schedule first floor conference room bookings as needed
Coordinate catering for various events and meetings of all sizes, including menu selection, delivery, payment and receipt tracking
DESIRED BACKGROUND AND SKILLS:
High level of experience with Microsoft Office.
Excellent written and verbal communication skills, including the ability to engage with a wide variety of personality types at various professional skill-levels.
High-energy level paired with strong multitasking ability and a keen desire to help efficiently facilitate a dynamic, aggressively-growing company.
Proactive team player who is adaptable, flexible, and willing to take on new tasks with a positive attitude.
Detail-oriented with strong communications skills, confidence and decision-making abilities.
Four-year degree in business or communications is recommended but not required.
