Lifespace Communities would like to introduce the opportunity to become an Administrative Assistant at the home office, located in Des Moines, Iowa.

The Administrative Assistant performs a variety of administrative duties as assigned by the office manager.

A few other details about the role

Answer all incoming calls in a prompt, courteous and professional manner.
Receive all persons who enter the office in a courteous, professional manner, inform, guide, direct or otherwise assist visitors, team members or vendors tactfully and congenially to present the best possible image of the Living Lifespace standards.
Compose, proofread, edit and prepare business correspondence.
Maintain and update all directories including home office, printers and communities.
Coordinate filing with multiple departments and maintain off-site storage management details. Copy documents as needed.
Schedule travel arrangements (air, hotel, car, etc.) for various team members, utilizing a specific database and management system.
Sort and distribute incoming and outgoing mail and UPS items.
Process overnight packages, documents, and letters by courier (FedEx & UPS), while seeking the best rates and shipping options.
Assist with duties associated with in-house meetings, conference and video-conference calls, including ordering meals, meeting room set up, scheduling and calendar coordination.
Maintenance and order office and kitchen supplies. Coordinate with multiple departments on supplies needed while maintaining cost-effectiveness and utilizing a specific ordering system.
Reconcile credit card statements for qualified team members.
Assist with scheduling interviews and greeting candidates while exhibiting the Living Lifespace culture and confidentiality.
Assist with special projects as assigned for multiple departments.
Comply with applicable federal, state and local laws, rules, and regulations; maintains knowledge of and follows all company policies and procedures.
Obtain knowledge and demonstrate the principles of Living Lifespace , person directed care and successful aging philosophies and their inherent core values of commitment, respect, compassion, dedication, team work and quality. Team member will support, actively participate and act in accordance with the principles of the Living Lifespace service culture and be familiar with and fluent in the language and service pillars of Living Lifespace.
Maintain regular and punctual attendance at work and meetings.

Associates degree with emphasis in English or communications
Bachelor's degree preferred
Two to three years of applicable experience.
Certification in Microsoft office applications preferred.
Ability to interact with residents, guests and team members in a professional manner.
Ability to organize time and work flow to meet the demands of the home office, coordinating gathering information from each of the Lifespace Communities.
Strong communication skills, verbal and written.
Discretion, tact, and diplomacy in dealing with complex issues, maintaining confidentiality.
Ability to work independently with little supervision.
Knowledge of general business office practices.
Expert computer skills which include but not limited to, Microsoft Office, specifically Microsoft Word, Excel and PowerPoint. Ability and willingness to expand this knowledge as needed to support the needs of the business.
Strong proofreading and editing skills for projects, letters, etc.
Strong attention to detail.
Ability to read, write and speak English sufficient to perform job duties and to interact and communicate with residents, vendors and team members.
