Reports to: Associate Director, Meetings & Events
General responsibilities: This position was created to provide hands-on experience with the various facets of association event planning, including small meetings as well as a large-scale convention & trade show. The candidate will spend time with NCBA staff learning about: association management operations, registration, housing, catering, audio-visual, sponsorships sales, customer service, supplier relations, exhibits/trade show, event marketing, entertainment, and overall event production.
Summer Internships May-September: Application Deadline April 1st
Provide customer assistance to registrants via e-mail & telephone; data entry of registration forms into registration system.
Assist with monitoring hotel block pick-ups.
Inventory registration supplies & place orders with vendors to ensure sufficient quantities for meetings.
Use the Function Sheet System to enter details for events taking place at during small and large meetings (date, time, room set-up, catering & audio-visual needs, etc.) that will be included in the specs book sent to the hotels & convention center.
Manage requests from sponsors/affiliate groups for all In-Conjunction-With (ICW) meetings at Convention.
Be a member of the planning teams for the Thursday Night & Friday Night social events.
Act as support staff at during events to include Cattle Industry Summer Business Meeting.
Additional duties as assigned.
Successful candidate must be currently enrolled in a hospitality, tourism, event management or agriculture, animal science, agriculture communications or agricultural marketing or comparable degree program with an interest in event production.
Excellent communication, collaboration and customer service skills are essential.
Individual must be innovative and possess event coordination skills. Must be pleasant, outgoing and at ease meeting new people.
Strong written and oral communication skills are necessary.
A self-starter with the ability to excel in a fast-paced, deadline-driven environment will receive strong consideration.
Must have intermediate knowledge of computer programs including Microsoft Word, Excel, Outlook, and the internet.
Ability to travel overnight if required for from approximately January 27- February 2, 2018 (all travel expenses covered by NCBA).
