Community Fund Management Foundation (“CFMF”) is a small, nonprofit, tax-exempt (501(c)(3)) foundation that develops and administers trusts to benefit individuals with disabilities and enhance their quality of life while attempting to safeguard their eligibility for government benefits. CFMF also makes grants to individuals with disabilities and to other nonprofits. CFMF is a growing organization that aims to expand its services to people with disabilities and is seeking candidates who thrive in a fast-paced, high-volume work environment and enjoy work that requires excellent attention to detail and strong verbal and written communication skills.

Job Description

This new position is a full-time, non-exempt position of 37.5 hours per week (Monday through Friday, 8:30am-4:30pm, with a 30-minute lunch) in CFMF’s Administrative Office in Northeast Ohio. The Executive Assistant will provide executive-level administrative support to CFMF’s Executive Director and Deputy Director as described below. The successful candidate will demonstrate the organizational skills and attention to detail necessary to thrive in a fast-paced environment that requires a high degree of accuracy. The successful candidate will also demonstrate the communication skills necessary to provide excellent customer service to individuals with disabilities and their families, service providers, and legal representatives.

Duties

  • Provide clerical support to Executive Director and Deputy Director
  • Provide administrative support for CFMF’s grant program
  • Provide administrative support for development of new services
  • Contribute to improvements in systems and procedures
  • Arrange CFMF participation in community events; prepare and maintain exhibitor materials
  • Receive and respond to written and verbal information requests
  • Create and maintain spreadsheets
  • Enter data efficiently and accurately in proprietary software
  • Organize and maintain electronic files
  • Draft business letters that are clear, concise, and grammatically correct
  • Handle phone communications
  • Assist with scheduling of internal and external meetings; take minutes of meetings
  • Handle any other responsibilities identified by Executive Director and Deputy Director

Qualifications and Necessary Skills

  • Bachelor’s degree (B.A.) in Nonprofit Administration, Business Administration or Management, Finance, Communication, English, or a related field
  • Organized and detail-oriented with minimal errors; efficient and accurate data entry
  • Strong verbal and written communication skills; professional communication experience
  • Friendly and confident with kind, patient, and positive communication style
  • Able to work independently and within a team
  • Able to take initiative to solve problems
  • Able to self-manage workflow and multi-task during slow and busy periods
  • Able to identify potential service improvements and contribute to changes in procedures
  • Proficient in using Microsoft Word, Excel, Windows 10, and Adobe Acrobat
  • General clerical, computer, email, and copier/scanner experience
  • Able to be entrusted with confidential data
  • Reliable and punctual
  • Ohio Notary Public (or able to become a Notary during first month of employment)

Salary / Benefits

  • Salary to be determined depending on qualifications and experience
  • Five days of Paid Time Off (PTO) for the first calendar year; paid time off increases as years of service continue
