***2+ years of real estate/mortgage/escrow experience and an active real estate license within 30 days of hire will be required for the following position.
The primary role of this position is to BUILD the systems we need and to leverage out the less important tasks to team members who you will hire and manage. Additional team members may be on-site/in office or virtual, based in the US or offshore.
The Director of Operations will have an obsession with making our company more efficient and providing the absolute best experience possible for all of our vendors, clients and business associates.
This person will be a natural builder and think systematically to create and improve processes and systems to enable scalability at a massive level. This person is never satisfied with status quo and loves change while moving at a fast pace for fast growth.
This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The successful individual will be comfortable working alone for extended periods of time, often on routine work. They will also be comfortable interfacing with clients both on the phone, via email and in person. Often chaos is created during high production and the successful candidate will be comfortable working within a chaotic environment and creating systems to implement structure.
This person will be prompt, precise and detail oriented.
The ideal candidate will have previous experience in the Real Estate industry and may come from a mortgage, legal or title background.
Where We Are + Where We Are Going:
We are currently a team of 14 (2 Admins, 1 Property Manager, 2 Inside Sales Associates, 2 Co-Owners, and 7 Outside Salespeople) tight knit, entrepreneurial, success oriented real estate professionals with a passion for delivering the highest levels of service possible and making their client's real estate dreams a reality, closing 300 transactions annually.
Our commitment is to sell 1,500 homes a year in real estate and manage 1,000 rental properties throughout the valley by the end of 2023.
Listing and Transaction Management
Oversee Administrative division to ensure all systems and processes are running exceptionally. While most tasks will be delegated, you are ultimately responsible for the completion of all required tasks.
Present and negotiate all incoming offers on our listing inventory.
Implement “The Promise Script” throughout team to ensure we are receiving referrals from existing clientele.
Handle escalations for any administrative team members. (The expectation is for them to be trained to handle this on their own.)
Oversee Marketing division to ensure all systems and processes are running exceptionally. While most tasks will be delegated, you are ultimately responsible for the completion of all required tasks.
Maintain Database of Clients, Cross Sale Agents and Vendor Partners
Create, manage and implement VIP Program based on our guidance while delegating marketing related tasks.
Create and Execute Marketing Calendar
Plan Event Calendar and Obtain Sponsorships from Vendor Partners
Touches – Birthdays, Holidays, Life Events, Etc.
Buyer and Seller Books/Boxes/Closing Gifts
Track closing gift orders
Track Buyer and Seller Books produced and inventory
Track Buyer/Seller Boxes produced and inventory
Inventory all materials/contents for Buyer/Seller Boxes, Buyer/Seller Books and Closing Gifts – order additional supply, when needed (25-50 in stock at all times.)
Order closing gifts + deliver to clients/attend signings
Initial Referral Gift “Thanks a Latte”
Closing Referral Gift “Thank You Champagne/Wine”
Track referral gift orders
Inventory all items – order additional supply, when needed
Order referral gifts
+ deliver to referring party
Lead, train and motivate administrative team
Hold accountability meetings w/ admin team
Recruit, interview, and hire new team members to support the growth of the organization.
Implement training programs and new employee on-boarding
Oversee compensation plans and benefits administration.
Oversee Virtual Assistants and other Centralized Services staff.
Plan and coordinate team building events, build camaraderie in office
Ensure the mission and values of LUX are being communicated and upheld at all times to clients and agents.
Manage Team Financials
Master the Economic Model
Regularly review financial reports
Work with Team Leaders to set goals, increase revenue and decrease expenses
Ensure all information is complete and accurate in Salesforce Contact Records, Property, Listing and Closing Objects.
Ensure all sales volume, commissions, etc. are accurate in Salesforce and reports are pulled monthly for MTD, YTD and year over year production.
Pull Monthly Production Reports, YOY
Manage all Team Operations and Administrative Functions
Develop Systems and Workflows for all projects/tasks.
Prepare Team Meeting Agendas and Coordinate
Answer phones, as needed.
Create and manage weekend phone schedule.
Maintain/Add to operations manual that documents all systems, processes, and standards for our team.
Research and evaluate systems used to ensure we are operating at the highest level of efficiency.
Builder – Ability and desire to design, build and implement perfect systems (software, checklists, templates, operations manual with systems and standards, etc.) to automate our business, increase productivity and streamline processes. We will cast the vision, you will build it.
Accurate – Desire to produce high quality, accurate results while ensuring consistency in everything we do so each client, vendor and business associate gets the same fabulous experience every time.
Sense of Urgency – Desire to get things done right now and exhibit leadership skills; understanding the importance of high level decision making and working with a sense of urgency, while maintaining attention to detail.

Arizona Real Estate license
