Job Purpose: The purpose of the Human Resources Tournament Assistant is to provide the HR Coordinators assistance in facilitating the employment process for the Masters Tournament to include the hiring and onboarding of all Tournament employees, while providing customer service excellence and maintaining the strict confidentiality of all Club business.
Duration: This is a seasonal position- working from September through end of May each year
Essential Functions of the Job
Aids the HR Coordinators in all aspects of the established hiring process to include: applicant correspondence, ensuring applicants successfully complete required steps of the hiring process, maintaining current records in the HRIM system, and keeping open, continuous communication with the hiring department.
Provides guidance and assistance to applicants, serving as a secondary point of contact throughout the hiring process.
Routinely checks progress of applicants moving through the hiring process. Initiates follow-ups with applicants as needed, ensuring successful completion of information prior to deadlines.
Consistently follows Federal and State guidelines when administering/verifying/filing legally required documents to include, but not limited to, tax forms, I-9 documentation and e-Verify.
Provides updates to HR Coordinators and management regarding status of hires.
Ensures all Tournament hires have submitted an acceptable photograph to print a Tournament credential.
Routinely checks all work for accuracy and completeness ensuring applicant and job information in PDS, applicant correspondence, hire lists and process management documents are up-to-date at all times.
Assists the HR Coordinator with updating uniform information in the HRIM system and provides uniforms requests/information to the Lead Attendant as needed.
Assists in the collection of orientation dates and agendas from hiring department. Coordinates with hiring department and HR management to schedule and reserve meeting space for orientations.
Prepares all HR materials needed for orientation, including sign in sheets, credentials, handouts, videos, packets, etc.
Assist HR Coordinators in visiting schools and helping collect required documentation needed to complete on-boarding paperwork for Tournament employees.
Provides excellent customer service to applicants, vendors and Club staff.
Aids the HR Coordinator in the tracking and reporting of key metrics designed to measure and predict staffing activity to include but not limited to applicant fall out rate pre and post tournament, terminations during tournament, etc.
Assists the HR Coordinators by entering rehire eligibility status into the HRIM system for all Tournament employees
Assists the HR Coordinator in the printing, distributing and collecting of timesheets from hiring departments on a daily basis during Tournament Week. Communicates any payroll or timekeeping issues to the Payroll Coordinator.
Assist HR Coordinators throughout the Tournament with day-to-day tasks.

Qualifications (required unless stated otherwise):Skills/Knowledge/Attributes:
Basic knowledge of office clerical work.
Provides process/procedural improvement recommendations to HR management.
Participates in and provides support for Employee Relations events.
Assists with project work in Human Resources department.
Assists in the uniform shop.
Assists with dissemination of tournament credentials and parking passes.
Performs all other duties deemed by management to be an integral part of the job.
One year experience in an administrative/clerical role
High school diploma or equivalent required
Possess a valid driver’s license and/or successfully completes the Club’s internal motor vehicle training program
