Under the general direction of the Revenue & Compliance Management team members, the Accounting Intern - RCM will provide support to the Revenue and Compliance Management department by assisting with daily and monthly grants and contract accounting tasks. These tasks include (but are not limited to): audit grant support documentation submissions received by sub-awardees and submit to external agencies for reimbursement; maintain financial records for multiple entities including investment funds by analyzing general ledger accounts and reviewing financial statements; assist with monthly internal and external billings and reporting; provide financial status information by completing special reporting and special projects; gather financial records and information from other departments and verify and/or adjust financial records as needed to maintain compliance. Desired hours are 15 – 30 hours during the school year and full-time over winter and summer breaks.
Essential Job Functions
~60% of time to be spent compiling information in support of grant and contracts reimbursement for multiple legal entities.
Coordinate with collaborating entities to ensure timely, accurate, and complete documentation.
Generate and share reports with collaborators showing grant financial status.
Manage grant tracking schedules and inventory of all documents in SharePoint document storage libraries.
Ensure documentation is compliant with audit standards and 2 CFR 200 guidelines.
Assist in reconciling activity in Salesforce database to Intacct accounting system.
Review coding of activity in general ledger for compliance, identifying errors, recommending and making correcting journal entries as needed.
Learn Intacct accounting system and Ohio Development Services Agency Invoicing Services Systems.
Support JumpStart and its affiliated entities, and any networked partners with operations managed by the organization. Currently Northeast and Northwest Ohio Entrepreneurial Services Programs are supported by JumpStart, which involves 9 and 3 entities respectively.
~15% of time to be spent assisting with the investment fund accounting functions.
Input transactions into the database for periodic tracking of fund investments and portfolio value.
Assist with the maintenance of all accounting actions including AR / Invoicing, capital calls, general ledger entries to record investments and market value, maintaining subledger schedules of investor contributions, distributions, and sales.
Assist with the preparation of audit schedules for all investment funds as required; assist with the production of quarterly fund statements and distribution of the same to Limited Partners.
~25% of time to be spent on accounts receivable in support of the Senior Accountant.
Create paper files of deposited checks and supporting documentation.
Create invoices for recurring contracts and donations.
Interact with other JumpStart team members and outside clients to communicate outstanding invoices.
Perform reconciliations of revenue and bank statements at month end close.
At year end, reconcile paper files with electronic records.
Physical Demands/Working Conditions
Physical Demands: The work is mostly sedentary; it generally involves considerable desk time with attendant walking, bending and carrying light items. There are no special physical demands. Changes in work priorities and deadlines can occur based on organizational needs.
Work Environment: Work takes place in a typical office setting which has adequate space, light and furnishings.
Other: Assist with other tasks and reports as required.
Education, Training and/or Experience
High school diploma with college credits towards a Bachelor’s degree, major in accounting or finance.
1+ years of accounting experience, with nonprofit accounting experience a plus.
Experience with general ledger, A/P and A/R.
Knowledge, Skills, Abilities
Skilled spreadsheet experience required, as well as a firm understanding of Microsoft Office – Word, Excel, and PowerPoint. Must be proficient in a Windows environment and computerized accounting software.
A basic knowledge of theory, concepts and practices of accounting with a willingness to apply knowledge to broad range of assignments.
Ability to handle confidential and sensitive materials.
Professional appearance and well-developed communication skills – both oral and written.
Ability to meet multiple deadlines and work under deadline pressure with minimal supervision.
Ability to identify process improvements.
Detail-minded and accurate.
Must work well with others and work in accordance with JumpStart’s overall objectives and established procedures, and meet all standards of quality.
