The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services, and provides subsidized child care vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement and programs for youth in the community. The Division of Youth and Family Justice (DYFJ) is responsible for oversight and management of secure and non-secure detention services for juveniles (e.g., youth) awaiting disposition in family, criminal, and supreme courts.
The Executive Assistant serves a critical role by assisting Deputy Commissioner's Executive Office with scheduling, organizing, and administrative tasks which support the daily operations of the office. The direct work unit will include the Deputy Commissioner of Division of Youth and Family Justice, Chief Operating Officer and Senior Advisors. Reporting directly to DYFJ’s Deputy Commissioner, the Executive Assistant will assist with providing direct clerical and administrative support to DYFJ Executive Staff and others as necessary.
Specific duties include, but are not limited to:
- Work closely with Deputy Commissioner and implement cultural, educational and recreational programming for all Secure Detention youth throughout the year including monthly activities, workshops, and programs.
- Work directly with youth to develop and implement programs and activities that promote teamwork, leadership, problem solving and critical thinking.
- Build self-confidence in youth and contribute to violence reduction through activities and relationship building.
- Encourage healthy lifestyles for youth through sports, physical exercise and good nutrition.
- Support the facilities and contracted providers in implementing special projects, workshops, or other events as needed.
- Manage the schedules and calendars for the Deputy Commissioner and other members of the DYFJ Senior Leadership Team (as needed).
- Organize and prepare for meetings, including gathering documents, drafting agendas, coordinating with stakeholders, and supplying materials.
- Draft, review, send emails and memos, take meeting minutes, circulate post-meeting takeaways, and follow-up on outstanding action items and key decisions needed on behalf of the Executive office.
- Answer and respond to phone calls, communicate messages and information.
- Create, modify and review distributed documents and reports.
- Prepare and process out-of-town travel requests, meal requests, employee expenses claim, mileage reports, reconciliations, etc.
- Respond to requests from internal and external providers, stakeholders and special projects and events as assigned.

Minimum Qualifications
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
Preferred Skills
The preferred candidate should possess the following: - Excellent interpersonal skills and a knack for cultivating productive work relationships. - Detail oriented self-starter with previous experience supporting Senior Management staff. - Excellent computer skills including the Microsoft Office Suite - Outlook, Excel, Word, Visio, PowerPoint and Teams virtual meeting platform. - Excellent written and verbal communication. - Strong critical thinking and problem-solving skills. - Familiarity with the following systems is a plus - CS-900, PASSPORT, ESS/NYCAPS, SharePoint, WITS, Connections, GOALS, JJIS, PROMIS, UCMS, WebCrims, and eJustice.

Residency Requirement
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
