Office Administration/Bookkeeper/Project Manager Assistant

Heise Electric Inc. is looking for an experienced Office Administrator/Bookkeeper with excellent communication and organizational skills that could also assist with certain aspects of project management.

Responsibilities:

- Reconcile bank accounts and credit cards monthly
- Weekly and Monthly invoicing for all clients, progress billings
- A/R - Record and reconcile all payments received
- A/P - post & initiate payments to vendors
- Weekly payroll including Certified payroll reporting
- Prepare and file monthly sales/use tax reports
- Prepare and file Quarterly Reports (L&I, Unemployment, Federal)
- Project cost analysis
- Report required information to external CPA
- H/R - Keep employee files in compliance with HR regulations
- Post-employment opportunities and intake applications
- Manage all injury or L&I Claims and required documents
- Maintain records consistent to auditing standards
- Submittal and materials tracking for projects
- Prepare sub contracts, gather all required documents prior to work beginning on jobsites
- Email and track correspondents to/from Clients i.e. Change Orders for projects
- Answer phones and take messages
- Produce and manage office task management list

Requirements:
- High School Diploma or Equivalent, as minimum. Associate College degree in Business Management a plus.
- Proficient in Microsoft Office, Excel, Quickbooks accounting & payroll software
- Knowledge of generally accepted accounting principles
- Well organized with a high attention to detail
- Honesty, trustworthiness, and ability to maintain confidentiality
- Able to work independently as well as with others as a team
- 3-5 years of bookkeeping or accounting experience

Desired:

- Knowledge of construction and contracting processes
- Ability to create new processes to streamline payroll, invoicing, and project tracking
- Fluent and capable of using online software such as G-suite, Quickbooks online, and Tsheets
