Job Summary

Primary Purpose / Objective:

Our company is a vendor management firm for construction and renovations in the single-family rental industry. We are seeking a Vendor Coordinator to add to our team. The position of Vendor Coordinator reports directly to the Director of Field Services. As Vendor Coordinator, you will manage the process and administration of vendors and suppliers. Your responsibilities will also include: administration, scheduling and coordination of projects from request through completion; and maintenance of records and performance assessments.

Specific Responsibilities:

Coordination of prospective Inspectors:

  • Qualify prospective vendors; assure that all vendors fill corporate requirements and provide required documentation
  • Onboard approved vendors
  • Provide training to new vendors

Coordination of Inspectors activities:

  • Prioritizing needs to meet specific timelines
  • Scheduling and tracking of all assignments
  • Insure that all task are completed using a detailed procedural checklist provided by Sylvan Field Services on behalf of the owners of the properties
  • Provide consistent and strong support to the teams as needed
  • Record project statuses
  • Maintain project files
  • Develop reports on the performance of team members
  • Maintain continuous and up-to-date status reports for all projects

Coordination with Customers

  • Administer intake of new projects
  • Administer status of current projects
  • Communicate statuses of each project on an on-going basis

Pre-Requisites for Success:

  • Sound, general knowledge of construction techniques and field problem resolution
  • Organization aptitude to manage the timely scheduling and completion of inspections in a high-paced, high-volume environment
  • Willingness to work diligently to meet deadlines
  • Ability to travel, as needed, to property locations to train and supervise inspector/vendors

Goals and Accountability Measures:

  • Measurements are reviewed, monitored and tracked by the Director of Field Services based on the following criteria:
  • Ability to meet specific deadlines of assigned jobs
  • Accuracy and quality of documentation of team Members performances compared to corporate checklists


  • Previous experience in supervision of vendors
  • Previous experience in rehabilitation and construction of single-family homes
  • Excellent verbal and written communications skills
  • Proficient computer skills (Office, Excel)
  • Strong quantitative analysis and critical thinking skills
  • Knowledge/willingness to learn company-specific software and tools
  • Ability to work in a fast-paced environment, manage multiple projects, and prioritize work
  • Detail oriented
  • Ability to work independently and with teams
