Overview

As an Executive Assistant, you will provide daily administrative support and coordination to the Senior Vice President of Global Talent Management and the Vice President of HR & Employee Engagement. You will be responsible to manage all administrative tasks in addition to collaborating on special projects.

Responsibilities

Proactively manage calendar scheduling, emails, travel arrangements (international & domestic), and expenses for both officers
Provide administrative support including ordering supplies, managing invoices, organizing and maintaining files, and data management
Provide support to additional members of broader HR team as requested such as sending/receiving mail, ordering supplies, preparing new hire work area, creating onboarding calendars, etc.
Coordinate and assist with the execution of team meetings and events, i.e., preparing meeting materials, ordering group lunches, confirming attendees, coordinating WebEx/virtual meetings for offsite attendees
Develop relationships with internal administrative staff to facilitate effective meeting planning and scheduling
Screen incoming communications and visitors to the department and handle any matters not requiring a decision or action of the officers
Create and edit MS Documents, PowerPoint presentations and Excel spreadsheets
Assist with ad hoc projects as needed
Education and Experience

6+ years of current experience as an Administrative Assistant supporting a senior organizational leader
Bachelor’s degree preferred
Excellent verbal and written communication skills (writing samples will be requested)
Strong Outlook Calendar management experience
Advanced experience using Microsoft Office (Word, Excel, and Power Point) required
Experience using Microsoft Teams, SharePoint and OneDrive preferred
Ability to learn United HR systems, processes, and policies to answer basic queries
Ability to be flexible and accommodating with last minute schedule changes
Experience interacting with front-line employees and executives at all levels required
Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality, and assertiveness required
Excellent ability to maintain diplomacy, composure, and effectiveness in a fast-paced environment
Superior follow-through, organization, time management, and attention to detail
High learning agility and ability to adapt to change
Great initiative with the ability to be collaborative and a team player
Ability to anticipate needs without instruction
Positive, professional attitude and presence, ability to exhibit exceptional customer service and interpersonal skills
Prior experience and desire to be a part of Talent Management or Human Resources Business Partner teams is nice to have
Ability to work flexible work hours required
Reliable, punctual attendance is an essential function of the position
Must be legally authorized to work in the United States for any employer without sponsorship
Successful completion of interview required to meet job qualification
