Reporting directly to the President, the Executive Assistant will provide executive-level support to the President, COO, and CFO. The Executive Assistant serves as the primary point for internal and external contact on all matters related to the President. The Executive Assistant will serve as a liaison in coordinating myriad business initiatives in support of the President, some of which will be confidential. They should have the ability to provide sound judgment in various situations, with strong written and verbal communications. The Executive Assistant will need to work independently on special projects, from conception to completion, and must be able to work under pressure at times handling a wide variety of activities. The candidate will have the ability to multi-task while exercising independent judgment and discretion. This position is located in our corporate office in Timonium, Maryland.
Extensive scheduling and maintenance of the President's calendar, COO and CFO.
Prioritize conflicting needs, handle matters proactively and expeditiously, and follow-through on projects to successful completion within deadline commitments.
Schedule regular and complex events such as conference calls, meetings, travel or other business agendas for the President and within the executive team.
Coordinate conference room arrangements, agendas, itineraries, and catering for customer visits or internal meetings.
Greet and assist visitors to the company on behalf of the President.
Book travel and accommodations, create and submit expense reports.
Answer the President's telephone calls and manage messages and correspondences.
Interact and collaborate regularly with the executive team to plan, coordinate and review materials related to business administration.
Create correspondences, reports, meeting notes, memos, letters, charts, tables or presentations in support of or on behalf of the President and executive team.
Maintain President's customer and vendor contacts, records and other documentation to include access to confidential information.
Open and sort mail for the President, prioritize and follow-up.
Organize social events such as gatherings, holiday parties or picnics.
Manage special projects and assignments on behalf of the President including establishing timelines, coordinating project deliverables with other departments and external consultants, executing research, evaluating and updating project status for reporting and decision making, and managing timing.
5+ years of administrative or executive assistant experience.
Associates or Bachelor's degree preferred.
Experience in creating and implementing project management plans.
Excellent attention to detail and accuracy, sound judgment, initiative, and dependability.
Ability to build rapport, trust and positive working relationships within different areas of the business with a warm disposition and smooth interaction.
Expert level communication skills, both verbal and written, with a high standard of professionalism.
Highly detail-oriented and resourceful team player with the ability to multitask.
Ability to remain poised and calm under pressure.
Comfort and proficiency with responding to rapid changes.
Ability to analyze information using logic and process to address various situations and problems.
Good business acumen.
Impeccable organizational skills with the ability to be proactive and prioritize a variety of projects and tasks effectively to meet deadlines in a fast-paced environment.
Ability to maintain a high level of confidentially.
Strong knowledge and proficiency with Microsoft Office applications including Outlook, Word, Excel, OneNote, and PowerPoint.
